On behalf of Geraci LLP, we are seeking a highly organized and proactive Executive Assistant with legal experience to provide high-level administrative and executive support to an attorney. This role is ideal for someone who understands the pace and demands of a legal environment, is comfortable working with confidential and time-sensitive information, and can independently manage calendars, correspondence, documents, and follow-up items.

Key Responsibilities:
- Executive & Administrative Support
- Manage the attorney’s calendar, meetings, appointments, and scheduling across multiple time zones.
- Monitor and prioritize the attorney’s inbox, correspondence, deadlines, follow-ups, and action items.
- Proactively flag overdue or pending items and follow up with the attorney, clients, and stakeholders to keep work moving.
- Prepare meeting materials, reminders, notes, and follow-up items while maintaining confidentiality and discretion.
- Legal & Document Support
- Prepare, format, revise, proofread, and organize legal and business documents, including engagement letters, retainer agreements, corporate formation documents, loan documents, and closing checklists.
- Provide advanced Microsoft Word support, including styles, section breaks, headers/footers, Track Changes, formatting cleanup, cross-references, tables of contents, and template management.
- Coordinate document execution, distribution, and electronic signatures through platforms such as DocuSign and Adobe Sign.
- Maintain organized document and file management systems.
- Client & Transactional Support
- Draft professional client-facing correspondence in the attorney’s voice and communicate effectively with clients, attorneys, lenders, business owners, and other stakeholders.
- Support client intake and onboarding, including follow-up on missing information, documents, and signatures.
- Provide administrative support for entity formation, fund formation, securities filings, loan documentation, licensing, and other transactional matters.
- Assist with UCC filings, county recorder submissions, and EDGAR/SEC filings, including Form D filings, as needed.
- Track transaction requirements, filings, deadlines, and closing deliverables to ensure matters stay on schedule.
- Ad Hoc & Special Projects
- Handle ad hoc administrative, legal, operational, research, and special projects as assigned.
- Prepare spreadsheets, trackers, reports, presentations, summaries, and other materials as needed.
- Assist with process improvements and time-sensitive assignments.
- Take on additional responsibilities as priorities change and support the attorney and firm wherever needed.
Requirements & Qualifications:
- 3+ years of executive assistant, legal assistant, paralegal, or administrative support experience, ideally supporting an attorney or C-suite executive.
- Prior experience working in a law firm, title company, escrow, lending, real estate, or related professional services environment.
- Working familiarity with legal documents and terminology, including engagement letters, retainer agreements, corporate formation documents, loan documents, and closing checklists.
- Strong calendar and inbox management skills, including the ability to manage competing priorities across multiple time zones.
- Advanced proficiency in Microsoft Word, including styles, section breaks, headers/footers, Track Changes, formatting cleanup, cross-references, tables of contents, and template management.
- Proficiency in Microsoft Office, particularly Outlook and Excel.
- Excellent written and verbal communication skills.
- Ability to draft polished, professional client-facing correspondence in an attorney's voice.
- Strong follow-through and ability to manage multiple open items simultaneously.
- Two professional references and a valid criminal background check issued within the last 60 days are required for all successful applicants.
- Completion of intake paperwork, including submission of a valid tax identification number (e.g., Social Security Number, Social Insurance Number, or the country’s equivalent), is required prior to onboarding.
Preferred Qualifications
- Familiarity with UCC filings and county recorder submissions.
- Experience with EDGAR/SEC filing portals, particularly Form D filings.
- Exposure to transactional legal work, including entity formation, fund formation, securities filings, loan documentation, and licensing.
- Experience with client intake and onboarding workflows.
- Familiarity with DocuSign, Adobe Sign, or similar e-signature platforms.
- Experience working with legal practice management or document management systems.
- Experience supporting attorneys involved in lending, real estate, corporate, securities, or transactional matters.
Working Hours:
Full Time (40 hours per week)
Monday through Friday, 8:00 a.m. - 5:00 p.m. Pacific Time
Pay: $800 + $55 Allowance per month
