Job Summary
The Total Rewards Partner is primarily responsible for the administration of all benefits, wellness, retirement, and for the United States, including medical, dental, vision, life insurance, short- and long-term disability, 401(k), and support for payroll activities. The role provides frontline customer service to serve and support Ventra colleagues on their benefits and pay.
Essential Functions and Tasks
- Maintains confidentiality
- Completes employment verifications by phone and in writing timely
- Ensures the accuracy of all benefits enrollments in the HRIS to provide vendors with accurate eligibility information
- Performs quality checks of benefits-related data
- Assists employees regarding benefits claim issues and plan changes
- Responds to benefits inquiries from managers and employees on plan provisions, benefits enrollments, status changes and other general inquiries
- Owns end-to-end leave management, including FMLA, ADA, and state-mandated leaves (e.g., paid family and medical leave, state disability, and pregnancy-related leave), from intake and eligibility determination through return to work
- Interprets and applies federal, state, and local leave and accommodation regulations, including FMLA and ADA, ensuring compliance and consistent application of policy
- Issues all required leave notices and paperwork, including eligibility, rights and responsibilities, certification requests, and designation notices, within regulatory timelines
- Manages the ADA interactive process in partnership with HR Business Partners and managers, documenting reasonable accommodation requests, decisions, and outcomes
- Tracks leave usage, intermittent leave, return-to-work dates, and benefits continuation during leave; coordinates with payroll and disability carriers on pay and deductions
- Maintains accurate, confidential leave records and monitors changes in federal and state leave laws to keep policies, forms, and processes current and compliant
- Responds to retirement plan inquiries relating to enrollments, plan changes and contribution amounts. Manages the annual catch-up contribution enrollment
- Supports the annual open enrollment process, including system setup and testing, employee communications, enrollment support, and post-enrollment audits of vendor eligibility files
- Manages processing of life events
- Administration of continuation of coverage post-employment, such as COBRA
- Support payroll partners during payroll cycles as required
- Ensures benefits deductions and employer contributions are accurately reflected in payroll, and reconciles them against vendor invoices and carrier files
- Performs monthly benefits invoice reconciliation for carriers and vendors, researching and resolving discrepancies and preparing invoices for payment approval
- Serves as a primary point of contact for employee benefit questions, escalating complex issues to carriers and brokers and following through to resolution
Education and Experience Requirements
- Associates degree in Accounting, Finance or Business or related experience
- At least two (2) years of payroll processing and benefit support experience
- Hands on experience with payroll/HRIS software, ExponentHR highly desired
- Excellent customer service skills
- Strong written and verbal communication skills
- Ability to make decisions in a timely manner that are sound, accurate and supported by the reasoning and inclusion of appropriate members of Ventra Health
- Must be able to prioritize and adhere to strict deadlines to ensure timely payroll
- Excellent time management skills
- Excellent organizational skills
- Benefits administration experience (open enrollment, life events and COBRA) preferred
- Leave of absence administration experience, including FMLA, ADA accommodations, and state-mandated leave programs, strongly preferred
- Working knowledge of federal, state, and local leave and accommodation regulations, with the ability to apply them accurately across multiple states
- Multi-state payroll experience (including final pay laws) preferred
- Deep knowledge of state and federal payroll and tax regulations
Knowledge, Skills, and Abilities
- Proficiency in Microsoft Excel, including advanced functions such as pivot tables, VLOOKUP, and data analysis tools.
- Strong analytical and problem-solving skills, with attention to detail and data accuracy.
- Excellent interpersonal and communication skills, with the ability to work effectively in a cross-cultural, global environment.
Compensation
- Base Compensation will be based on various factors unique to each candidate including geographic location, skill set, experience, qualifications, and other job-related reasons.
- This position is also eligible for a discretionary incentive bonus in accordance with company policies.
