Description

The Contractor must:

2.2.1 Assist in maintaining RDIMS in accordance with SOPs, including searching, retrieving, organizing, and updating information stored in RDIMS;

2.2.2 Act as the first point of contact for routine RDIMS-related inquiries and escalate issues to the TA or designated DND personnel when required;

2.2.3 Work collaboratively with PMO staff to prepare draft briefings/materials, presentations, and supporting documentation related to DM activities within MHP; and,

2.2.4 When directed by the TA, the Contractor’s resource must conduct a handover and transition of all applicable roles, responsibilities, SOPs and tasks for future MHP contractors or to WSM personnel.

2.3 Information, Records Management, Recordkeeping Management, Recordkeeping Specialist – Intermediate Resource

MT2

The proposed resource must have a minimum of one year of demonstrated experience using RDIMS, or equivalent GoC document management system, in any capacity, within the last 3 years as of bid closing.

MT3

The proposed resource must have a minimum of one year within last five years of demonstrated experience in managing documentation that is either controlled under the Canadian Controlled Goods Program or the US International Traffic and Arms Regulations.

MT4

The proposed resource must demonstrate a minimum of five years’ experience within the last ten years as of bid closing, in managing a technical data resource centre, including at a minimum: managing access control, track document status, controlling organizational structure of data/resource centre, etc.

A resource centre is defined as a library containing softcopy and hardcopy documents, CD’s and technical drawings that is accessed by twenty or more people.

MT5

The proposed resource must demonstrate a minimum of five years of experience within the past ten years as of bid closing, working in the field of Data Management in the following areas:

  1. Determining file plans* for technical data included at a minimum, but not limited to: drawings, test plans, procedures, reports and design change proposals.
  2. Following and providing improvement recommendations of standard operating procedures.
  3. Managing the physical storage of documents.
  4. Processing of document deliverables including: Preparing and sending acknowledgement of receipts, file downloading of documents, and distributing deliverables to intended recipient.

* Determining a file plan consist of, at a minimum, but is not limited to: recording, indexing and categorizing incoming materials and record management of incoming and outgoing materials

MT6

The proposed resource must have a minimum of three years within the last ten years as of bid closing, of demonstrated experience in the application of Configuration Management. This includes, but is not limited to, control and processing of technical information to ensure compliance with configuration management processes, such revision control.
