Accounting Coordinator (Accounts Payable Specialist)

Position Summary

The Accounting Coordinator supports the company’s accounting operations, with a primary focus on accounts payable, accurate job costing, and maintaining positive vendor relationships. This role works closely with the accounting team to meet deadlines, support the month-end closing process, and ensure vendor accounts remain current and in good standing.

Additional responsibilities include assisting with accounts receivable, subcontractor billing and payments, lien waivers and releases, job costing, and other accounting and administrative tasks as needed.

Key Responsibilities

• Enter and process accounts payable invoices in the accounting system.
• Ensure invoices are accurately coded and assigned to the appropriate jobs and cost categories.
• Monitor and manage the accounting email inbox, ensuring timely follow-up and resolution of requests.
• Reconcile  vendor statements monthly and investigate discrepancies.
• Communicate professionally with vendors to resolve invoice, payment, and account issues.
• Assist with subcontractor billing, payment processing, and related documentation.
• Maintain accurate financial records and organized vendor files, including W-9s, certificates of insurance (COIs), and lien waivers and releases.
• Assist with accounts receivable activities as needed.
• Support the preparation and processing of lien waivers and releases for project billings and payments.
• Assist with month-end accounting procedures and deadlines.
• Provide support for other accounting and office-related needs as required.

Requirements

Qualifications and Requirements

• Experience with accounts payable and accounts receivable processes.
• Experience working for a construction general contractor or subcontractor preferred.
• Familiarity with construction accounting, including project-based billing, job costing, and subcontractor payments.
• Knowledge of construction lien waivers and releases preferred.
• Experience with Sage 100 Contractors or other accounting software preferred.
• Proficiency in Microsoft Excel and Microsoft Office.
• Strong attention to detail and a commitment to accuracy.
• Ability to maintain organized, accurate, and confidential financial records.
• Strong communication and problem-solving skills, with the ability to work professionally with vendors, subcontractors, clients, and internal team members.
• Ability to work independently, take initiative, manage priorities, and meet deadlines.
