Description
We are working with an established company in the architecture, engineering, and construction (A/E/C) industry seeking an experienced Contracts Administrator to join its legal department in Springfield, Massachusetts.
This is an excellent opportunity for a detail-oriented professional with experience in contract administration, legal operations, or paralegal work who enjoys taking ownership of processes and working closely with internal business teams, vendors, subcontractors, and insurance professionals.
The Contracts Administrator will support the full contract lifecycle, from review and negotiation through execution and ongoing administration, while also assisting with insurance documentation and contractual risk management.
Key Responsibilities:
Contract Administration
- Support the full contract lifecycle, including coordinating and tracking contract reviews and negotiations
- Prepare and administer agreements with owners, subcontractors, consultants, and vendors, as well as NDAs and amendments
- Coordinate approvals, signatures, and contract execution
- Maintain contract databases, files, templates, and related documentation
- Help ensure compliance with internal contracting policies and procedures
- Respond to contract-related questions from project teams
- Assist with audits, compliance reviews, reporting, and process improvements
Insurance & Risk Management Support
- Request, review, and track certificates of insurance (COIs) to ensure contractual requirements are satisfied
- Coordinate with insurance brokers regarding coverage, limits, endorsements, and expiration dates
- Work with vendors and subcontractors to resolve missing or noncompliant insurance documentation
- Maintain insurance tracking systems and documentation
- Support vendor pre-qualification and contract and insurance compliance
- Maintain legal and risk-management resources on the department's SharePoint site
Ideal Candidate
- At least 3 years of experience in contract administration, legal operations, or a related role
- Associate's or Bachelor's degree in Business Administration, Legal Studies, Finance, or a related field, or equivalent professional experience
- Strong organizational skills and exceptional attention to detail
- Ability to independently manage multiple priorities and deadlines
- Excellent written and verbal communication skills
- Proficiency with Microsoft Word, Excel, and Outlook
- Familiarity with AI tools
- Sound judgment, professionalism, and the ability to handle confidential information
Preferred, but not required
- Experience within the construction, architecture, engineering, or professional services industries
- Paralegal experience and/or a paralegal certificate
- Experience reviewing and tracking COIs or familiarity with commercial insurance, including general liability, workers' compensation, and professional liability coverage
Compensation & Benefits
The anticipated salary range is $75,000–$95,000, with final compensation based on experience, qualifications, and other job-related factors.
