Description
Leading AI media and events company, sitting at the center of one of tech's most exciting industries, is looking for an Executive Assistant & Office Manager to support their Founder as he juggles multiple fast-moving ventures out of one growing San Francisco office. In this hybrid role, you'll own his inbox(es) end to end, help him stay on top of quarterly priorities, and keep the office running smoothly, from day-to-day organization to planning everything from intimate dinners to larger community gatherings. Someone who is genuinely excited about AI and plugged into what's happening in the space, thrives in ambiguity, and brings a type-A, detail-oriented approach to keeping a fast-moving founder organized and accountable. There's real room to grow here, whether that means deepening into the full scope of the EA role or eventually helping build out the team. This is a hybrid role based in San Francisco, with a minimum of 2 days/week in office. 140-180K+ DOE + equity, discretionary bonus, 401K in progress, and flexible PTO.
Responsibilities:
- Manage and prioritize the Founder's inbox(es), including drafting responses on his behalf and flagging what needs his attention.
- Support quarterly goal-setting and prioritization, helping translate a busy, multi-venture workload into clear next steps.
- Own office management for a growing SF office, including keeping the space organized and welcoming guests and visitors.
- Help plan and execute community events and dinners, ranging from intimate small-group gatherings to larger industry events.
- Provide light personal support as needed, including occasional errands and situations where personal and professional tasks overlap.
- Act as a trusted, detail-oriented right hand who helps keep the Founder and the broader team organized and on track.
Qualifications:
- Genuine curiosity about and excitement for AI, this is one of the most talked-about brands in the space, and that should feel like a real perk of the role rather than an afterthought.
- Previous experience supporting a founder or executive in a fast-paced, resource-lean environment is a plus, though driven and detail-oriented candidates earlier in their careers are also encouraged to apply.
- Highly organized and proactive, with the ability to manage multiple inboxes and competing priorities without missing a beat.
- Comfortable operating with ambiguity and scrappiness, this is an early-stage, do-it-yourself environment without a lot of formal process or infrastructure in place yet.
- Strong written and verbal communication skills, with the ability to interface professionally with high-profile external contacts.
- Proficient with AI tools such as ChatGPT or Claude, and generally comfortable with tools like Slack, Notion, and Google Workspace.
- Able to work in office a minimum of 2 days/week in San Francisco, with flexibility beyond that.
