Executive Assistant to Executive Committee Member
Job Description:
This position provides high-level administrative, technical, and project support to an Executive Committee member with senior-most accountability for a major global function of the organization. Beyond traditional executive support, this role acts as a force multiplier: it applies technology and AI tools to research, drafting, and analysis; produces and refines executive-quality presentations; and coordinates strategic projects and initiatives across the function and with partners throughout the enterprise. The successful candidate is comfortable operating with confidential information, moving between administrative execution and substantive project work, and learning new tools quickly.
What You'll Be Doing
Executive Support and Time Management
Works independently to perform diversified duties. Organizes and prioritizes the workload of self and executive to meet deadlines, anticipating needs rather than waiting for direction.
Coordinates and manages calendars, scheduling and prioritizing meetings, appointments, and events. Protects focus time, resolves conflicts proactively, and ensures the executive's time is allocated against the highest-value strategic priorities.
Handles incoming calls, emails, physical mail, and correspondence on behalf of the executive. Drafts, edits, and proofreads documents, emails, and presentations, and ensures accurate and timely responses to inquiries.
Serves as a liaison between the executive and internal and external stakeholders, including executive peers, client partners, and team members. Develops and maintains positive, professional, and discreet relationships.
Organizes and maintains digital and physical files, ensuring efficient document retrieval, version control, and confidentiality.
Technology and AI Enablement
Uses Microsoft 365 at an advanced level — Outlook, Teams, Word, Excel, PowerPoint, SharePoint, and OneDrive — including shared workspaces, permissions, and document collaboration, and serves as a practical resource for the team on these tools.
Applies AI assistants such as Microsoft Copilot and Cowork to summarize meetings and long documents, draft and refine correspondence, prepare first-pass research on companies and markets, and accelerate the production of briefing materials. Reviews and validates all AI-assisted output before it reaches the executive and applies sound judgment about what should and should not be processed with AI tools.
Builds and maintains lightweight automations and workflows — recurring reports, meeting prep packets, distribution lists, task reminders, and templates — that reduce manual effort and keep routine work moving without prompting.
Works comfortably with data: builds and maintains trackers and dashboards in Excel or comparable tools, performs basic analysis, checks figures for accuracy, and turns raw data into clear summaries and visuals.
Adopts new tools quickly, observes company data-handling and information-security policies in every tool used, and shares practices that improve productivity across the executive's leadership team.
Presentation Development and Document Production
Builds, restructures, and polishes executive-level presentations for board, executive committee, customer, supplier, and town hall audiences. Goes well beyond formatting: reorganizes narrative flow, tightens messaging, and recommends how content should be sequenced for the audience.
Applies and enforces corporate brand and template standards, ensuring consistent typography, color, and layout across every deck and document leaving the office of the executive.
Creates charts, tables, timelines, and simple diagrams from source data, and improves the clarity of visuals supplied by others while preserving the accuracy of the underlying figures.
Consolidates input from multiple contributors into a single coherent document or deck, chases missing material against deadlines, and manages version control through final delivery.
Project and Initiative Coordination
Coordinates strategic projects and initiatives on behalf of the executive: maintains plans and milestone trackers, monitors deliverables and due dates, follows up with owners across functions, and escalates slippage early.
Runs the operating rhythm of the function — staff meetings, quarterly business reviews, planning cycles, and leadership offsites — including agendas, pre-reads, minutes, decisions, and action item tracking through to closure.
Conducts research, gathers and organizes data, and prepares reports and presentations that support decision-making on active initiatives.
Coordinates across the executive's direct reports and their assistants to align schedules, deadlines, and deliverables for cross-functional work.
Travel, Events, and Onsite Operations
Makes travel arrangements, including flights, accommodations, transportation, and itineraries. Handles expense reporting and reimbursement, including receipt management, currency conversion, and expense tracking.
Arranges and coordinates single and multi-day meetings, conferences, and events, including venues, logistics, printed materials, timely distribution of agendas and minutes, catering, and escorting guests through secure areas.
Provides general administrative support, such as managing office supplies, ordering and testing equipment, processing invoices, and maintaining office systems, and collaborates with the facilities and security teams on onsite matters.
What We're Looking For
Proven experience as an executive assistant supporting senior leadership in an onsite setting.
Advanced proficiency with Microsoft 365, including PowerPoint at a design and storytelling level and Excel for tracking and analysis.
Demonstrated hands-on use of AI assistants in daily work, with the judgment to verify output and to recognize where AI is not appropriate.
Experience coordinating projects or programs, with the ability to hold cross-functional owners to deadlines without formal authority.
Exceptional written communication, editing, and proofreading skills, with a high standard for accuracy and presentation quality and emotional intelligence.
Sound judgment, discretion, and a consistent record of handling highly confidential information.
Curiosity and a bias toward finding a better way to do recurring work.
Work Arrangement:
Hybrid: Tuesday, Wednesday, Thursday required office days for Panorama Office site; Monday, Friday-work from home.
