Role Summary
The Specialist will support the end-to-end management of outside counsel and related legal operations activities for the legal department. Reporting to the Operations Manager, this junior-level role is responsible for executing Outside Counsel Management processes, supporting vendor lifecycle management, and providing operational and administrative support to the legal team
Key responsibilities
Support onboarding and offboarding of external counsel, ensuring compliance with internal processes and standards.
Assist in managing law firm performance, including maintaining scorecards, collecting feedback, and coordinating training delivery
Support the administration of outside counsel guidelines, engagement terms, and panel management processes
Facilitate the RFP/competitive bidding process for new matters as required
Manage matter intake, triage, and maintain records within legal technology platforms (e.g., e-billing, matter management)
Provide analysis and reporting on law firm performance, spend, and compliance
Capture and organize regular feedback from lawyers and firms (both substantive and compliance oriented)
Support legal document processing, formatting, and related administrative tasks
Provide administrative assistance for raising Legal Department purchase orders (POs) and related procurement processes
Collaborate with internal stakeholders and external partners to ensure smooth execution of OCM and legal operations activities
Why you ?
Basic Qualifications:
Graduate degree in any discipline
Up to 6 years of experience, ideally with exposure to operations and preferably legal operations
Experience in vendor management or legal operations is preferred; strong operations professionals from other domains will be considered
Proficiency in Microsoft Word, Outlook, Excel, and other productivity and collaboration tools.
Experience with contract management lifecycle software, procurement software, CRM software, and workflow/case management software is preferred
Preferred Qualifications:
Excellent stakeholder management and communication skills, both written and oral
High attention to detail, organisational skills, and the ability to prioritize and manage multiple tasks to strict deadlines
Collaborative approach, with proven ability to work effectively across legal, operations, and finance teams
Proactive problem-solving and adaptability in a dynamic, deadline-driven environment
