Overview
The HR Operations & Compliance Supervisor is a highly organized, detail-oriented professional responsible for supervising and administering a broad portfolio of HR operational programs, projects, systems, vendors, compliance activities, and employee programs. Serving as a key operational leaderwithin the HR Operations and Total Rewards team, this role independently manages multiple prioritiesrequiring cross-functional coordination, strong project management, attention to detail, and sound judgment, while directing the day-to-day work of assigned compliance staff.The position serves as the HR point of contact for mergers and acquisitions (M&A), coordinating activities from due diligence through integration, and provides day-to-day oversight of HR case management, employee referral programs, HR communications, employment screening and motor vehicle monitoring vendors, professional licensing and certifications, student debt reduction programs, HR policies, and other HR initiatives. The role directly supervises one employee, the HR Compliance Coordinator, and is accountable for the accuracy, timeliness, and compliance integrity of that work.
Responsibilities
Mergers & Acquisitions• Serve as the primary HR contact for mergers, acquisitions, and integrations, developing and maintaining project plans, timelines, milestones, deliverables, and action items.• Coordinate HR due diligence, including employee data, compensation and benefits information, policies, compliance requirements, HR systems, and other workforce-related information.• Coordinate activities across HR, Payroll, Benefits, Talent Acquisition, IT, Finance, Legal, Operations, and other stakeholders.• Track project progress, identify risks and dependencies, and escalate issues when appropriate.• Support the integration of acquired employees into HR systems, processes, policies, programs, and vendors, including related employee communications and transition activities.• Maintain M&A documentation, ensure outstanding integration items are completed, and provide regular updates to HR leadership and stakeholders.HR Case Management• Serve as the primary HR Operations contact for the HR case management system, including administration of workflows, categories, permissions, and enhancements.• Monitor case volumes, trends, response times, and service levels, and maintain related reports and metrics.• Coordinate system issues and enhancements with HR technology partners and vendors.• Identify opportunities to improve processes, employee experience, and HR service delivery across all assigned programs
Employee Referral Program• Coordinate day-to-day administration of the employee referral program, including guidelines, eligibility requirements, processes, and employee-facing information.• Track employee referrals and coordinate approvals and incentive payments with Talent Acquisition, Payroll, Finance, and HR teams.• Monitor participation and program activity and recommend enhancements.HR Communications• Coordinate HR communications across the HR team, partnering with subject matter experts to develop clear, accurate, and timely employee communications.• Maintain HR communication calendars and coordinate communication schedules.• Assist with employee announcements, FAQs, program communications, policy updates, and other HR materials, including those tied to M&A activity and major HR initiatives.Vendor Management• Manage day-to-day relationships with vendors supporting background checks, employment screening, I-9 verification, and motor vehicle monitoring.• Monitor vendor performance, service levels, issue resolution, and compliance requirements, and identify opportunities to improve efficiency.• Coordinate required motor vehicle monitoring activities and related follow-up.• Maintain vendor documentation and records and assist with evaluations, implementations, renewals, and transitions as needed.Compliance: Professional Licensing & Certifications• Oversee the HR Compliance Coordinator's maintenance of professional licensing and certification records for dentists, hygienists, dental assistants, and other applicable clinical employees.• Monitor license and certification expiration dates and renewal requirements, and coordinate notifications and follow-up to ensure credentials remain current.• Maintain accurate documentation and tracking systems.• Partner with Operations and clinical leadership to resolve licensing or certification issues and support internal and external audits.HR Policies & Procedures• Maintain the organization's HR policies and procedures, including documentation and version control.• Coordinate periodic policy reviews and updates with HR leadership and Legal.• Support the communication and implementation of policy changes and ensure policies remain accessible within HR systems and resources.• Research HR practices and regulatory developments as needed to support policy updates.Student Debt Reduction Program• Coordinate administration of the organization's student debt reduction/assistance program, including eligibility, enrollment, documentation, and tracking.• Coordinate with third-party vendors, Payroll, Benefits, and Finance as appropriate.• Maintain program materials and employee communications and monitor program activity.Supervisory Responsibility• Directly supervises the HR Compliance Coordinator, including assigning work and priorities, reviewing accuracy and timeliness of compliance records, providing coaching and development, and participating in hiring and performance discussions with HR leadership.Work Environment:
This position operates in a professional office environment and routinely uses standard office equipment. Work is performed primarily during regular business hours, with occasional extended hours to support acquisition activity, integration deadlines, and project milestones. Limited travel may be required.Physical Demands:This is largely a sedentary role requiring the ability to operate a computer for extended periods, communicate clearly by phone, video, and in person, and read detailed written and electronic information. The position may occasionally require standing, walking, bending, reaching, and lifting items up to 15 pounds. Qualifications
Bachelor's degree in Human Resources, Business Administration, or a related field preferred.• 4–7 years of progressive HR experience, preferably in HR Operations, HR Programs, Total Rewards, HRIS, or a related discipline, including prior supervisory, team lead, or work direction experience.• Experience coordinating HR projects, programs, or vendor relationships in a multi-site environment preferred; prior M&A or integration support is a plus.• Proficiency with HRIS platforms, case management tools, and Microsoft Office applications, including Excel, Word, PowerPoint, and Teams.
