Job Location: Clark Outsourcing - Building 35 Philexcel Business Park, Clark Pampanga

Quick Rundown:

We are looking for a highly organized and detail-oriented Production Coordinator to manage daily backend operations, logistics tracking, and communication with internal teams and suppliers. This role plays a key part in ensuring smooth and efficient workflows by handling administrative and tracking tasks, allowing leadership to focus on higher-level priorities.

The ideal candidate is proactive, dependable, and able to work independently while solving problems effectively. Experience in the promotional products industry, including knowledge of suppliers and pricing structures, is highly preferred.

What You’ll Do:

Backend Production & Administrative Support (80%)

• Process orders accurately by verifying client requests, calculating pricing, and entering data into SAGE or similar systems.
• Create product mockups by placing client logos onto standard templates using Adobe Illustrator.
• Coordinate with printers, suppliers, and production partners to review proofs and obtain approvals.
• Track production schedules, supplier timelines, and shipment statuses to ensure timely delivery.
• Maintain accurate records and update logistics and freight tracking information.

Internal Operations & Team Support (20%)

• Manage internal email inboxes, project queues, and production files to keep workflows organized.
• Follow up with suppliers regarding order updates, inventory availability, and production timelines.
• Monitor shipments and identify potential delays or issues, escalating concerns to the appropriate team members.
• Support the sales team by handling administrative and logistical tasks, allowing them to focus on sales and business growth.

What Were Looking For:

• 3–5 years of experience in the promotional products, corporate gifting, or custom merchandise industry.
• Experience using promotional product management and CRM platforms such as ASI/ESP, Commonsku, Promois, SAGE, or similar systems.
• Proficient in Adobe Illustrator, including logo placement, vector artwork editing, transparency formatting, clipping masks, and file exporting.
• Skilled in working with PDF, JPEG, and PNG files.
• Strong knowledge of Microsoft Excel and Google Sheets, including data entry, tracking, and spreadsheet calculations.
• Excellent written and verbal English communication skills.
• Able to work independently, manage tasks efficiently, and maintain professionalism in a corporate environment.
• Comfortable communicating with suppliers and internal teams via email and phone.
• Experience with order processing, production tracking, and logistics coordination is preferred.
• Experience using AI tools and managing basic social media content, including drafting and scheduling posts for platforms like LinkedIn and Facebook.
