Payroll Coordinator

We are seeking a detail-oriented and reliable Payroll Coordinator to join our team in Romania. In this role, you will coordinate accurate and timely payroll processing, maintain payroll data and documentation, and support compliance with applicable employment and tax requirements. As part of the Human Resources team, you will work closely with employees, managers, Finance, external payroll providers, and relevant authorities to ensure an efficient payroll service.
Location (s): Bucharest, Romania (hybrid work)
Reporting & Team Structure: Reports to HR Director Romania; Individual contributor role, no direct reports.
Payroll Administration & Processing
- Coordinate accurate and timely end-to-end payroll processing and reporting.
- Maintain payroll, employee, compensation, benefits, attendance, and leave data.
- Resolve payroll discrepancies and ensure compliance with internal controls and statutory requirements.
- Manage relationships with payroll and benefits vendors, including the payroll system provider.
- Support the administration and continuous improvement of payroll and employee benefits programs.
Benefits Management
- Administer employee benefits programs and communicate related updates to employees and managers.
- Manage relationships with benefits vendors and oversee service delivery, invoice management and contract compliance.
- Coordinate the implementation and administration of employee benefit offerings.
Compliance, Reporting & Controls
- Ensure compliance with payroll, tax, labor, and social security requirements.
- Prepare payroll reporting, reconciliations, and workforce cost analyses for management and external authorities.
- Develop and maintain workforce cost budgets, forecasts, and scenario-based financial impact assessments.
- Support audits, internal controls, and the implementation of regulatory and legislative changes.
- Represent the company in dealings with government authorities, including labor, health insurance, pension, and other regulatory institutions.
Employee & Stakeholder Support
- Serve as the primary point of contact for payroll-related inquiries and support.
- Collaborate with internal and external stakeholders to resolve payroll issues and ensure data integrity.
- Provide guidance on payroll processes, documentation requirements, and timelines.
Continuous Improvement & Innovation
- Identify opportunities to simplify payroll activities, strengthen controls, and improve the accuracy and efficiency of payroll processes.
- Contribute to payroll system testing, process changes, data validation, and the implementation of new tools or ways of working.
Preferred Qualifications:
- Bachelor’s degree in Human Resources, Finance, Accounting, Business Administration, or a related field.
- Previous experience in payroll administration, personnel administration, HR operations, or a similar role.
- Good knowledge of Romanian payroll practices and applicable labor, tax, and social security requirements.
- Strong numerical aptitude, attention to detail, and ability to work accurately with confidential information.
- Good working knowledge of Microsoft Excel and experience using HR or payroll systems.
- Good communication skills in Romanian and English, both written and verbal.
- Ability to organize priorities, meet fixed deadlines, and collaborate effectively with multiple stakeholders.
