The University of Miami/UHealth Department of Medicine, Division of Pulmonary, Critical Care, & Sleep Medicine, has an exciting opportunity for a Full Time Sr. Practice Manager to work in the UHealth Campus.

Core Job Responsibilities

  • Manages and coordinates the activities of office and clinic personnel.
  • Approves time and attendance documents.
  • Oversees recommendations for hires, transfers, promotions, and terminations, and trains and evaluates all positions for the practice.
  • Maintains and adjusts job descriptions for department staff.
  • Sets goals and objectives for support staff and evaluates their performance.
  • Trains or facilitates the training of personnel within the assigned division(s).
  • Participates in customer service and leadership training.
  • Attends University meetings regarding UCare, Epic implementation, HIPAA compliance, and third‐party payor contracts.
  • Develops and implements an inventory control system for supplies and materials required by the practice.
  • Oversees employee, patient, and physician relations and problem resolution as it occurs in the offices.
  • Ensures compliance with University policies and procedures.
  • Establishes and continuously assesses the effectiveness of the internal controls within the unit and compliance with University policies and procedures. Ensures employees are trained on controls within the function and on University policy and procedures.

Core Qualification
Bachelor’s degree in relevant field
Minimum 5 years of relevant experience

Any relevant education, certifications and/or work experience may be considered.

Department Specific Functions

• Supervise and evaluate a team of approximately 15 staff members, including mentorship and annual performance evaluations.
• Lead recruitment, hiring, and on-boarding of supervisory and frontline staff (e.g., CBORs, CBOS).
• Ensure NICE audits are conducted, including data tracking and compliance monitoring of an average of 8,000–10,000 calls per month across the division.
• Direct and align practice management teams in leveraging call volume trends, handle times, and performance metrics to identify operational inefficiencies and implement data-driven performance improvement strategies.
• Provide comprehensive support to staff across scheduling, diagnostic testing, procedures, prior authorizations, DME, medical records, patient relations, conflict resolution, and training.
• Ensure appropriate cross-coverage across staff to maintain ≥90% call performance standards.
• Review and approve Paid Leave Requests (PLRs) for approximately 35 ambulatory providers.
• Develop and manage physician templates in accordance with ambulatory guidelines across 11 clinic sites (UHT, Lennar, Kendall, SoleMia, Doral, etc.) 
• Oversee coordination and scheduling of bronchoscopy procedures for the Interventional Pulmonary service, ensuring adherence to clinical protocols, timely patient care, and multidisciplinary communication.
• Oversee the management and scheduling of subspecialty programs within Pulmonary and Sleep Medicine (including Chronic Obstructive Pulmonary Disease, Non-tuberculosis mycobacterium, Cystic Fibrosis, Interstitial Lung Disease, Pulmonary Hypertension, Obstructive Sleep Apnea, Insomnia, etc.), ensuring coordinated patient care, provider alignment, and adherence to clinical standards.
• Disseminate open encounter reports twice weekly to ensure timely closure of medical encounters and prevent delays in authorizations for medications and equipment.
• Analyze monthly clinical productivity and operational reports for Pulmonary and Sleep Medicine providers.
• Maintain accurate payroll processes, including updating costing allocations and approving time in Workday.
• Review and update provider schedules in Qgenda for approximately 63 physicians across 15 inpatient services (MICU, IMCU, PCU, Consults, CVICU, PERT,etc.) to ensure accurate coverage for both UHealth Tower and Jackson.
• Ensure SPOK/Amcom on-call systems are updated with current team contact information.
• Manage provider off-boarding processes, including patient notification, rescheduling of affected appointments, template closure, and coordination with key departments.
• Complete termination documentation and coordinate required approvals for provider separation processes.
• Assist in monitoring UChart in-basket messages, and email correspondence to comply with UHealth policy.
