1) JOB DESCRIPTION
Organization and Management
Greet patients and visitors professionally and courteously.
Register follow-up patients and update existing patient information accurately.
Manage appointment bookings, rescheduling, walk-in queues and update patient appointments using the appointment system on daily basis and to inform and follow up with patient on appointment via phone call, SMS or WhatsApp.
Answer phone calls, respond to inquiries, direct calls to the appropriate personnel, and answer email inquiries promptly.
Verify payment, insurance and corporate panel entitlement before consultation.
Schedule, confirm, and coordinate with nurses, Consultants, and other services to ensure efficient clinic operations.
Ensure the reception area or outpatient specialist clinis is tidy, welcoming, and organized at all times.
Responsible to guide cash payee foreigner patient to make necessary cash deposit payment before seeing the Consultant and before necessary investigations.
Ensure all patient’s loose notes or loose documentations to be submitted to Health Information Management Services on daily basis.
To collect patient’s Laboratory or diagnostic imaging report when necessary.
To compile and submit all statistical report every end of the month.
Notifies the Head of Service of any changes in the situation that could impact the standards of care or non compliance to the hospital policies.
Adherence to Patient Safety Goals; Save Surgery Save Live involves accurately identifying patients, preparing them for procedures, checking patients with staff, noting abnormalities, and referring patients to the cardiologist if necessary.
Participates in patient and family health education, unit meetings, dialogue sessions, hospital activities, and other trainings as when needed.
Ensure clear, compassionate, and culturally sensitive communication with patients, providing appropriate guidance and assistance throughout their patient journey within the Specialist Clinic.
Charge accurately, incorporating charges for equipment and consumable items into the patient's charges and verifying their completeness.
Human Resource and Development
Take accountability for personal and professional development by actively participating in relevant training, learning and development programmes.
Participates actively in any other new service that is introduced.
Maintain the record of personal leave and training attended.
Deployment to other Specialist Clinics, including Medical, Surgical, Women & Child and other relevant specialties, as required by the Hospital, to develop and maintain competency in supporting multiple clinic specialties and ensure operational flexibility.
Policies and Procedures
Participates in the review and revision of service policies, procedures, and work instructions, providing valuable insights, promoting best practices for optimal patient care, and continuously improving the process.
Promotes infection prevention and control by ensuring staff follow protocols, implementing surveillance activities, and demonstrating commitment through personal involvement.
Maintain confidentiality of patient’s personal and medical history.
Adherence to Patient Safety Goals; Correct Patient Identification – Ensure accurate patient identification.
Facilities and Equipment
Conduct routine checks on clinic equipments / machines (e.g., BP monitor, ultrasound machine, weight scale, camera system etc.) for functionality and calibration validity.
Record and report any malfunctions to the Biomedical Engineering immediately.
Check expiry dates of medical chemicals, solutions (e.g., disinfectants) and ensure proper stock rotation.
Monitor the sharp bin and other biohazard waste containers; ensure timely disposal per Standard Operating Procedures (SOP).
Assist consultants in ordering, receiving, and restocking of consumables and supplies.
Assist with minor clinical tasks (e.g. preparing and setting up clinics) when required.
Safety and Quality Improvement Activities
Participate in and support activities aimed at the continuous improvement of nursing services, including quality assurance, infection control, and fire and safety programs.
Conduct thorough investigations, root cause analyses, appropriate response actions, and timely completion of incident reports within the stipulated timeframe.
Collaborate with head of service to collect and evaluate clinical and administrative data, and participate in hospital-wide surveys like MSQH, IMS, etc. for continuous quality improvement efforts.
Adhere to the Occupational Safety and Health Act and Regulations 1994, which mandate reasonable work care, employer cooperation, protective equipment use, patient safety goals, World Alliance recommendations, patient and family rights policies and standard people practice.
3) JOB REQUIREMENT
Minimum Sijil Pelajaran Malaysia (SPM) or Diploma in any discipline.
At least 1–2 years of working experience in a clinic, hospital or customer service environment.
Familiarity with outpatient clinic processes and healthcare terminology is an advantage.
Experience with clinic management software or electronic health records (EHR) preferred.
Excellent communication and interpersonal skills.
Good command of English and Bahasa Malaysia; other languages are an advantage.
Able to multitask, stay organised, work independently in a fast-paced environment or as part of a team.
Basic computer literacy (MS Office, data entry systems).
Proficiency in patient registration and appointment systems.
Knowledge of medical billing and insurance verification processes.
Pleasant and cheerful attitude and willing to perform the responsibility positively.
Have interpersonal and communication skills.
Punctual, disciplined and dependable in carrying out duties.
