Summary
The Sales Coordinator supports the sales organization through quotation preparation, order management, customer communication, and coordination with domestic and international suppliers and customers. The role also provides analytical and operational support across multiple business functions, including sales, quality, marketing, inventory management, and related financial processes.
This position requires the ability to analyze complex data, coordinate domestic and international shipments, and ensure accurate and timely execution of customer orders, inventory activities, and supporting business processes. This position plays a key role in supporting sales objectives, maintaining cross-functional alignment, and delivering a prominent level of customer service.
Essential Duties and Responsibilities:
Under minimal supervision, must be able to perform a variety of job duties including, but not limited to:
- Assist sales representatives /managers with proposals, quotations, and order processing.
- Gather pricing/lead times information from vendors, distributors, partners.
- Compile quotes excel files for sales team to finalize and send to customers.
- Coordinate with internal teams (e.g., Sales, Operation team in US, Business Development, Quality) to prioritize and fulfill customer orders based on urgency and business goals.
- Serves as a backup to Assist sales representatives/managers including Quote preparation, order related supplier communication, daily month-to-date sales, and weekly/monthly bookings reporting.
- Manage, monitor, and update sales pipeline activities for Sales Force or other sales tools under supervision of sales representatives/managers.
- Coordinate international and domestic shipments with freight forwarders/couriers with a clear understanding of export compliance requirements.
- Generate commercial invoices and deliver shipment details to customers.
- Performs other sales related duties as assigned by management.
- Recommend and propose solutions for process efficiency.
In addition to the above, Coordinators are to maintain an organized, clean, and safe work area using safety standards and expectations while adhering to all quality practices.
Education and/or Experience:
To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill and/or ability required.
- Bachelor's Degree (B.A.) in Business Administration, or in related field or equivalent required.
- Three (3) to five (5) + years of experience of B-to-B sales coordination or procurement is highly preferred.
- Previous experiences with shipping and import / export regulations are highly desired.
- Previous experience and knowledge in the space industry working on electronic components is highly desired.
- Knowledge and recent experience must involve diverse and complex business relationships.
- International business understanding with detailed operation with high traffic.
Required Skills:
- Language: Business-level English proficiency is preferred. Must have excellent written and verbal skills in Japanese. Ability to read, analyze, and interpret general business information. Ability to draft reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from groups of managers.
- Reasoning Ability: Ability to apply common sense understanding to carry out detailed but uninvolved written or oral instructions. Ability to deal with problems involving a few concrete variables in standardized situations. Ability to work on complex projects with general direction and minimal guidance.
- Mathematical Skills: Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, & percentages.
- Other Abilities: Must have solid analytical skills and solution-driven thinking and be able to use substantial amounts of data to make strategic decisions. Must have advanced Microsoft Excel, Word, PowerPoint skill. Must have knowledge to apply routine use of databases/spreadsheets. Experience with ERP systems is preferred. Ability to complete the planning of workflow and meetings. Maintains effective internal controls to ensure protection of assets and an accurate reporting of financial position.
