What We Want
The Center for Executive Development (CED) at Mays Business School is seeking a highly organized, proactive, and service-oriented Administrative Coordinator who thrives in a fast-paced, collaborative environment. The ideal candidate is a skilled relationship builder who can seamlessly manage administrative operations, coordinate meetings and events, maintain office processes, and support executive staff while keeping multiple priorities on track. We are looking for someone who takes initiative, anticipates needs, and brings strong attention to detail in managing calendars, records, compliance requirements, and logistical arrangements. Success in this role requires excellent communication skills, sound judgment, and a commitment to delivering exceptional support to internal and external stakeholders. The Administrative Coordinator will also play a key role in maintaining efficient office procedures, supporting technology and assessment platforms, and assisting with the training and onboarding of student workers and support staff. Most importantly, this individual will contribute to a professional, welcoming, and highly effective environment that supports CED's mission and impact.

Qualifications
Required Education and Experience
- Bachelor’s degree or equivalent combination of education and experience.
- Two years of experience in office administration.
Preferred Qualifications
- Experience with Adobe Express.
- Experience with Microsoft Excel, Word, Teams, Power Point.
- Experience working with students.
- Supervisory or Team Lead experience.
- Attention to detail.
Knowledge, Skills, and Abilities
- Ability to effectively communicate both orally and in writing.
- Strong interpersonal and organizational skills.
- Working knowledge of office software and instructional programs.
- Ability to positively and professionally interact with clients and staff, groups of various sizes.
- Ability to multitask and work cooperatively with others.
Essential Duties/Tasks
Administrative Operations Management
- Oversees planning and execution of administrative operations.
- Maintains daily office calendar and appointment monitoring.
- Reviews and monitors project and program timelines and proactively identifies issues.
- Coordinates office records retention and maintains reference materials.
- Coordinates inventory and maintenance of office supplies and equipment.
- Researches and responds to inquiries about office procedures and processes.
- Coordinates logistical arrangements for travel, meetings, and events/programs
- Develops and maintains administrative office procedures.
- Reviews and signs documents for supervisors.
- Serves as primary or backup administrative support to assigned functional areas.
Support and Coordination
- Provides administrative support for executive staff and various team members.
- Coordinates meetings, conferences, and special events
- Ensures compliance with office policies and procedures.
- Assists with content and maintenance of office website.
- Provides support for assessment platforms.
- Coordinates logistical arrangements for staff events and meetings.
Compliance and Policy Oversight
- Monitors compliance with office policies and procedures.
- Analyzes requirements for projects or initiatives.
- Provides technical information regarding administrative procedures.
- Assists in establishing procedures to ensure compliance with regulations.
Staff & Student Training
- Assists with training student workers and support staff.
- Assists in the development of processes for student onboarding.
