Purpose
Support program delivery by managing day-to-day activities, monitoring program quality, and maintaining accurate documentation. Assist with training, reporting, compliance, and data analysis, while collaborating with team members and external stakeholders to strengthen program outcomes. Manage the design of learning resources and oversee content development for online web pages, social media, and resource hubs focused on refugee resettlement in the U.S. Support monitoring, evaluation, and learning from public facing engagement mechanisms. Contribute to grants management activities.
This position is funded by a grant with a program period ending September 2027.
Responsibilities
Program Management/Programmatic Activities
- Maintain up-to-date self-education about programs. Ensure other unit colleagues are informed as appropriate.
- Regularly review program policies, forms, and manuals to stay abreast of changes in program implementation.
- Support supervisor with development and curation of tools, resources and trainings on themes relevant to the program
- Monitor general program quality and conduct reviews of program implementation and documentation requirements to ensure quality and timeliness of program service implementation and fulfillment of documentation requirements.
- Represent CWS at internal and external conferences, meetings, committees and working groups with CWS colleagues, government, donor, and community partners, and other stakeholders.
- Support in the management of program trackers and assist with reporting and data collection for program reports and responses to requests for proposals.
- Support the provision of needs-based technical assistance and training; this may be provided through e-learning modules, webinars, in-person training, communities of practice and one-on-one phone call.
Grants, Reporting, and Compliance
- Support compilation and analysis of narrative and data reports for submission to funder.
- In coordination with supervisor, analyze funding guidelines to ensure agency compliance; as necessary, assist in the development or revision of CWS policies, standard operating procedures, and training materials to ensure high quality service provision
- Contribute to the development of the proposals when requested. In collaboration with supervisors and colleagues, review written narratives.
- Contribute to required program reporting as necessary, including but not limited to, data and narrative reporting to ensure proper tracking and reporting of activities.
- Regularly review qualitative and quantitative program data to identify program trends, areas for improvement, best practices, and make recommendations for program development and enhancements
Partnerships and Development
- Develops and nurtures relationships with providers and other community partners to support program requirements and activities.
People Management
- Recruit, hire, train, supervise, and evaluate interns in accordance with CWS personnel policies and guidance from CWS Human Resources.
- Promote teamwork, coordinate the workload of interns, delegate responsibilities, and hold interns accountable.
- Provide ongoing training to interns on program developments and service requirements.
- Develop the orientation curriculum which includes a detailed explanation of program services.

Digital Content Optimization
- Maintain and update websites, social media platforms, newsletters and other digital resources, working with key staff to regularly add resources, refine content, and ensure relevance to key audiences and compliance with federal regulations and donor requirements.
- Copyedit, design and publish digital-ready program resources that align with organizational standards, program requirements, accessibility standards, and usability best practices, adapting as needed to reflect evolving requirements or policy changes.
- Distill educational resources into engaging graphics, tailored to each platform’s text, dimensions, and tone.
- Create customizable templates of key resources for use by national programs and local program sites.
- Manage new technology adoption (e.g., plugins, integrations) to enhance site growth, usability, and accessibility.
- Serve as a liaison between program staff and web developers, overseeing site updates and design projects, as well as coordinating production for multimedia projects (e.g., videos, photography, illustrations).
- Collaborate with the CWS communications team and ensure smooth communication regarding program communications and content.
- Track, analyze, and report website and social media engagement data, resource downloads, video views, webinar attendance, and newsletter performance to inform data-driven content improvements.
- Develop and implement content dissemination and promotion strategies for learning resources, ensuring timely and relevant outreach to target audiences.
- Develop and refine social media strategies, collaborating with colleagues, to create and optimize platform-specific content. Monitor and respond to comments and inquiries on social media.

Qualifications
Education
- Bachelor’s degree in social work, human services, sociology, psychology, public administration, public health, related field or equivalent experience in lieu of degree.
Experience
- Minimum 5 years of previous work experience in refugee or immigrant-related services.
- Minimum 2 years of demonstrated experience supervising staff.
- Experience in a local resettlement affiliate or a national office of a resettlement agency (preferred)
- Experience in social services or nonprofit sectors (preferred).
Skills
- Strong interpersonal and diplomacy skills; ability to work collaboratively and effectively with partners and teams.
- Strong attention to detail a must.
- Ability to always conduct oneself in a professional and courteous manner to represent the professional and institutional interests of CWS.
- Strong knowledge and experience in working with Microsoft Word, Excel, Power Point and database software is essential.
- Strong writing skills are required.
- The ability to work in a multi-cultural environment is required.
Supplemental Experience
- Expertise in designing and implementing successful digital content campaigns including use of social media platforms.
- Experience and comfort using the Adobe Creative Suite, including Photoshop and Illustrator, to create assets that can be leveraged with external audiences.
- Comfort and experience with web editing using WordPress or a comparable platform.
Special Requirements
- Hybrid or in office environment depending on program needs.
- Occasional evening or weekend hours for emergencies or community events.
- Some travel may be required.
