Position Summary
The Executive Assistant will serve as a key administrative partner and trusted gatekeeper for the Leadership team with additional office management duties as required. This role requires exceptional organizational skills, a high level of discretion, and the ability to manage a dynamic workload with competing priorities. Prior experience in real estate, private investment, or high-net-worth environments is strongly preferred.
Key Responsibilities
- Provide high-level administrative support to Principal(s) and senior management
- Manage complex calendars, schedule meetings, and coordinate travel arrangements (domestic and international)
- Prepare, edit, and proofread correspondence, investment reports, and presentations
- Support real estate transactions, including tracking deadlines, coordinating closings, and managing key documentation
- Liaise with external stakeholders (attorneys, brokers, property managers, consultants) on behalf of the office
- Maintain organized records of property holdings, contracts, and investment documentation
- Assist with personal matters, event planning, and household coordination as needed
- Handle confidential information with the utmost discretion
- Ensure office operations run smoothly; coordinate vendors and office supplies as necessary
Qualifications
- 5+ years of experience in an Executive Assistant or Chief of Staff capacity, ideally within real estate, finance, or family office settings
- Bachelor’s degree preferred
- Strong knowledge of real estate terminology and transaction processes a plus
- Proficiency in Microsoft Office Suite; familiarity with project management or CRM tools a bonus
- Impeccable organizational and multitasking abilities
- High level of professionalism and discretion
- Excellent written and verbal communication skills
- Self-starter mindset with a proactive, solution-oriented approach
