Description
As a Staff Assistant, you will:
- Compose and prepare correspondence and reports for both internal and external use, including agenda requests, memorandums, letters, training materials, and maintain confidentiality related to Director communications and records
- Serve as the liaison between the Office of the Airport Director, other City departments, Airport Advisory Commission, boards, committees, and external partners
- Coordinate, monitor, and participate in projects and functions to support the Director
- Coordinate assigned services and program activities with other City staff, external organizations, and the public
- Respond to and resolve inquiries and complaints; respond to requests for information
- Coordinate and execute department staff meetings (in-person and virtual) and employee engagement initiatives, including developing agendas and presentations, managing logistics, and recording and distributing meeting materials and resources
- Organize staff meetings and off-site conferences and workshops; make reservations and travel arrangements; prepare travel advance requests and expense summaries, and develop agendas, record transactions, compile information, and track assignments
- Provide assistance in the development of assigned budget; collect and analyze financial data, and monitor expenditures
- Support continuous improvement efforts related to administrative processes, communication workflows, and operational efficiency within the department
- Other duties as assigned
We are looking for candidates who demonstrate:
- Expert knowledge of Microsoft Office Suite (Word, Excel, PowerPoint, and Outlook)
- Knowledge of public-sector and Airport clerical and accounting procedures
- Knowledge of proper English usage, spelling, punctuation, and grammar
- Ability to establish and maintain effective working relationships
- Ability to maintain confidentiality and use good personal judgment and discretion
- Ability to communicate clearly and concisely, orally and in writing
- Strong customer service commitment and excellent interpersonal skills
- High school diploma or GED supplemented by additional specialized training in secretarial sciences, accounting, or other related field
- Five years of full-time administrative support experience, including experience in an executive support role
- Experience as an executive assistant
- Experience developing budgets, maintaining expense accounts, and completing purchasing
- Experience working in a municipal government setting
- Experience in event planning
