Job Posting Details
The appointee will primarily be required to provide comprehensive administrative and logistic support to the operations and activities organized by the Institute. He/She will be required to:
- provide dedicated administrative support to management (including schedule coordination and preparing meeting materials);
- provide proactive support in the planning and execution of events;
- assist in the production of publications/promotional materials for events (including the update of the Institute’s webpage, digital materials, and/or social media);
- perform advanced general office duties (e.g., coordinating space setups for visitors, processing procurement and requisition matters); and
- perform any other duties as assigned by supervisors.
Requirements
- A bachelor’s degree or equivalent, with at least four years of relevant working experience. Having prior work experience in a higher education setting is an advantage.
- Experience in coordinating complex event logistics and handling appointment matters is a distinct advantage.
- Demonstrate ability in handling multiple tasks independently, be highly attentive to details, and possess hands-on experience in using the latest office software (e.g., Microsoft 365, Google Workspace, SharePoint, AI applications, graphics editor).
- A strong work ethic, a proactive work attitude, and a readiness to embrace changes in workflow and workload.
- A service-oriented mindset with sound interpersonal skills, be highly tactful in communications, and demonstrate ability to work effectively with people from diverse cultural and academic backgrounds.
- A good command of written and spoken English and Chinese (including Cantonese and Putonghua).
- Be a good team player with a strong sense of responsibility.
- Working outside normal office hours may be required.
(Duration: 2 years, renewable subject to performance and staffing needs.)
Starting salary will be commensurate with qualifications and experience. Fringe benefits including annual leave, medical and dental benefits will be provided. A gratuity will be payable upon successful completion of contract.
