Role Overview
As a Sales Support Specialist you will support the sales team by processing secured orders, completing booking packages within 30 days of order date, and serving as the main point of contact for booking materials, customer master data, and payment or billing details. This role requires close coordination with sales, operations, and other internal teams to keep orders moving accurately and on time.
Key Responsibilities
- Process customer orders submitted through branch sellers and complete booking motions from intake through submission.
- Review booking checklists, proposals, and contracts or purchase orders to confirm accuracy, completeness, and required documentation.
- Follow up on missing items, customer signatures, certificates, and other booking requirements before submission.
- Create and align customer master records, including new customer setup in ERP when needed.
- Validate credit level, initiate legal review, and ensure the DOA process is followed with all required approvals.
- Support government compliance reviews and approvals, as well as change orders.
- Coach sellers on process improvement and help strengthen booking quality and first-pass yield.
- Track weekly booking progress, review monthly metrics with supervisors and sales leaders, and support resolution of aged POs, deals left after close, and letter of intent bookings.
- Support bid and performance bond requests, pre-qualification for pre-bids, dispute management, and OTC management as needed.
- Act as a liaison between sellers, sales leaders, Sales BPLs, and Sales Support Admin personnel to support annual secured volume and targeted improvement plans.
How You Will Do It
- Own the booking process end to end so each order is handled with accuracy, accountability, and integrity.
- Stay close to the work by reviewing the booking checklist, proposal, PO, and supporting documents early, and push back quickly when information is incomplete.
- Remove blockers before they slow the customer or the sales team by resolving gaps in customer master data, billing details, certificates, and approvals.
- Use weekly progress reviews and monthly metrics to identify root causes, speak candidly about what is getting in the way, and drive practical improvements.
- Work as one team with sellers, sales leaders, operations, and OTC partners to keep orders moving and support underperforming markets.
Qualifications
- 5-10 years of related experience in order processing, office management, accounts receivable, accounts payable, or credit.
- Proficiency in a Windows operating environment, including e-mail and Microsoft Office software.
- Experience using Sales Force and working in ERP-driven workflows.
- Strong interpersonal skills with sound decision-making ability.
- Effective, professional communication and organizational skills.
- Ability to manage detailed documents, deadlines, and multiple priorities in a fast-paced environment.
