Job Description:
Lead day-to-day coordination of supplier booking activities for utility-scale solar projects across Europe countries but not limited to. Plan, manage, and control supplier-origin booking flows for domestic and international shipments, ensuring alignment with project schedules, compliance requirements, and operational priorities. Coordinate suppliers, freight forwarders, customs brokers, and internal stakeholders to ensure booking readiness, shipment visibility, timely pickups, accurate documentation, and proactive escalation of risks and delays.
Key Responsibilities
Supply chain coordination
- Plan, coordinate, and oversee supplier booking activities from origin through freight forwarder handoff, ensuring materials align with project schedules and priorities.
- Follow up with suppliers for cargo readiness, packing lists, ASN data, pickup requirements, and shipping instructions.
- Ensure supplier booking activities are executed in line with Nextracker standards, timelines, and documentation requirements.
- Act as the main coordination point for supplier-related booking issues, delays, and missing information.
Transportation management
- Coordinate road, ocean, and air bookings with freight forwarders to meet shipping and delivery deadlines.
- Manage booking confirmations, changes, rollovers, and shipment updates based on supplier readiness and project priorities.
- Track shipment progress end-to-end and take timely corrective actions on deviations.
- Support urgent shipment requests and recovery actions when booking or pickup risks arise.
Vendor management
- Coordinate day-to-day performance of suppliers, freight forwarders, and customs brokers involved in booking execution.
- Ensure compliance with agreed booking timelines, documentation requirements, and service expectations.
- Escalate recurring supplier or freight forwarder performance issues affecting booking quality or execution reliability.
Compliance & documentation
- Ensure adherence to Incoterms 2020, transport procedures, and internal logistics processes.
- Be well-versed in shipping documents and validate booking-related information such as B/L instructions, invoices, packing lists, COO/EUR.1, certificates, and container details.
- Coordinate with internal teams and external stakeholders to resolve documentation gaps before pickup or shipment execution.
Communication & reporting
- Maintain clear, timely updates with internal stakeholders including Project Managers, Delivery Managers, Logistics Leads, and regional logistics teams.
- Maintain daily and weekly reports with booking status, supplier readiness, shipment risks, delays, and escalations.
- Communicate critical risks proactively and ensure stakeholders are aligned on required actions and recovery plans.
Business systems
- Keep TMS and related logistics tools fully up to date with accurate booking and shipment information.
- Maintain data accuracy across booking records, milestones, supplier status, and execution history.
- Use TMS, ERP systems, visibility tools, and advanced Excel to monitor open actions and performance trends.
Problem-solving & continuous improvement
- Proactively identify and resolve logistical and booking-related challenges.
- Drive improvement opportunities across supplier booking coordination, shipment readiness, and data quality.
- Comply with and improve SOPs and work instructions.
- Support lessons learned and standardization of supplier booking practices across the region.
Qualifications
- Bachelor’s degree in Logistics, International Trade, Supply Chain, or a related discipline.
- 2–5+ years of experience in logistics coordination, transportation operations, supplier coordination, or international shipping within industrial, EPC, or energy sectors.
- Strong knowledge of transportation modes, booking processes, shipping documentation, and Incoterms® 2020.
- Proven track record coordinating suppliers, freight forwarders, customs brokers, and internal stakeholders in complex logistics environments.
- Experience managing end-to-end multimodal shipments and supplier-origin booking activities.
- Proficient in TMS, ERP systems, and advanced Microsoft Excel; experience with OTM will be considered an advantage.
- Languages: Fluency in English is required; Spanish and/or other European languages are a plus.
- Willingness to travel occasionally to sites, warehouses, customers, and suppliers.
