JOB DESCRIPTION

The Workers' Compensation Claims Assistant provides administrative support for the company's multi-state workers' compensation program. Working under the direction of the Workers' Compensation Manager, this position assists with injury intake, claim filing, information gathering, wage reports, TPA follow-up, and electronic claim file maintenance.

This opportunity is for someone who is organized, curious, dependable, and comfortable asking questions to obtain complete and accurate information. Previous workers' compensation experience is welcomed but is not required. Training will be provided on the company's injury-reporting procedures, claim systems, terminology, and documentation requirements.

Key Responsibilities and Focus Areas

Injury Intake and Claim Filing

  • Review incoming injury reports to determine whether required information has been provided.
  • Enter and submit workers' compensation claims to the appropriate carrier or TPA using established procedures.
  • Confirm basic information such as the injured employee's name, employing entity, work location, injury date, supervisor, client, venue, and state.
  • Ask appropriate follow-up questions to better understand how the injury occurred and identify missing information.
  • Contact supervisors, employees, witnesses, and internal departments to collect required facts and documents.
  • Gather incident reports, witness statements, photographs, work schedules, and other supporting information.
  • Immediately escalate serious injuries, unclear circumstances, conflicting information, or reporting delays to the Workers' Compensation Manager.

TPA and Carrier Follow-Up

  • Receive and track routine information requests from insurance carriers and TPAs.
  • Gather responses to basic questions about employment, job duties, injury circumstances, work schedules, and available records.
  • Provide requested documents after reviewing them for completeness and accuracy.
  • Route questions involving claim decisions, compensability, legal issues, reserves, or settlement matters to the Workers' Compensation Manager.
  • Maintain a follow-up list and send reminders for outstanding information.

Wage and Employment Information

  • Request payroll and employment information needed to complete wage reports.
  • Assist with preparing wage statements and earnings documentation using established forms and procedures.
  • Verify employment dates, job title, work schedule, hours worked, overtime, and earnings information.
  • Ask for assistance when payroll records are missing, inconsistent, or unclear.
  • Submit completed wage documentation within established deadlines.

Administrative and File Support

  • Create and maintain organized electronic claim files.
  • Upload documents, enter claim notes, and update claim tracking systems.
  • Document telephone calls, emails, requests, and completed follow-up activities.
  • Monitor outstanding tasks and notify the Workers' Compensation Manager of overdue items.
  • Assist with obtaining job descriptions, physical-demand information, personnel documents, and other claim-related records.
  • Handle employee, medical, payroll, and claim information confidentially.
  • Provide general administrative support to the Workers' Compensation Manager.

Communication

  • Communicate with injured employees, supervisors, and internal departments professionally and respectfully.
  • Provide basic information about the company's injury-reporting process without offering medical, legal, or claim-coverage opinions.
  • Help supervisors understand what documentation is needed following a reported injury.
  • Ask questions when instructions, facts, or documentation are unclear.
  • Maintain a service-focused approach while ensuring information is complete and accurate.

Required Qualifications

  • High school diploma or equivalent.
  • Strong organizational skills and attention to detail.
  • Ability to follow written procedures and complete work within established deadlines.
  • Strong written and verbal communication skills.
  • Comfortable asking follow-up questions and communicating with employees, supervisors, and business partners.
  • Basic proficiency with Microsoft Outlook, Word, and Excel.
  • Ability to learn new software and electronic claim systems.
  • Ability to handle confidential and sensitive information appropriately.
  • No previous workers' compensation or insurance experience is required.

Preferred Qualifications

  • Associate or bachelor's degree in business administration, human resources, risk management, occupational safety, insurance, or a related field; degree preferred but not required.
  • Previous administrative, customer service, data-entry, payroll, human resources, insurance, or office-support experience.
  • Workers' compensation or insurance experience is beneficial but not required.
  • Experience reviewing forms, maintaining electronic records, or collecting detailed information.

Position Scope

  • The Workers' Compensation Claims Assistant works under the direction of the Workers' Compensation Manager and does not determine whether a claim is compensable, make benefit decisions, establish reserves, direct legal strategy, or authorize settlements.
