Overview

Reporting directly to the Associate Dean for Research, the Operational Manager of Research Administration provides operational oversight for the day-to-day administrative and operational functions of the Yale School of Nursing Office of Research. The Manager provides comprehensive research administration and grants management support to faculty, administrators, staff, and students; coordinates sponsored research administration, Office of Research operations, and operational support for the School's research-based PhD program. The Manager is responsible for ensuring efficient research administration, operational excellence, regulatory compliance, process improvement, and high-quality services that support the School's growing research enterprise.

Key Responsibilities:

  • Operations Management: Manage the day-to-day operations of the Office of Research; coordinate operational priorities, workflow, and administrative processes; ensure the effective delivery of research administration services; and supervise designated Office of Research staff, as appropriate. Support staff development and foster a collaborative, customer-focused environment committed to accountability, operational excellence, and continuous process improvement.

  • Proposal Management: Manage the grant proposal lifecycle from development through submission, ensuring compliance with sponsor and University requirements and adherence to established timelines. Coordinate the administrative review and processing of research agreements in collaboration with the Office of Sponsored Projects and other University offices.

  • Regulatory Compliance: Ensure compliance with applicable sponsor, University, and regulatory requirements related to sponsored research administration. Review and approve At-Risk, sub-awards, prior approval, and No-Cost Extension requests, as appropriate.

  • Stakeholder Collaboration: Develop and maintain collaborative working relationships with University administrative and compliance offices, including the Office of Sponsored Programs, Office of Conflict of Interest, Human Research Protections Program, and other relevant University partners, to facilitate efficient research administration and regulatory compliance.

  • PhD Program Administration: Coordinate and manage the administrative and operational activities of the School's research-based PhD program in collaboration with the Associate Dean for Research and PhD Program leadership. Support program planning, implementation, student and faculty administrative services, program communications, reporting, and continuous process improvement to ensure effective program operations and compliance with School and University policies.

  • Data Management and Reporting: Manage the collection, analysis, and reporting of Office of Research data and research administration metrics. Prepare accurate and timely reports to support operational decision-making, process improvement, and institutional reporting. Coordinate research administration reports for the Dean's Office and other University offices, as appropriate. Prepare reports and presentations on behalf of the Office of Research and participate in internal and external research administration meetings and professional activities.

  • Research Operations and Process Improvement: Work closely with the Associate Dean for Research to implement operational priorities for the Office of Research, strengthen administrative processes, improve service delivery, and support the continued growth of the School's research enterprise. Identify opportunities for workflow improvement and implement standardized administrative processes that enhance efficiency, consistency, and customer service. Coordinate operational activities among the Office of Research and other University administrative offices to ensure efficient research administration services.

  • Customer Service: Provide responsive, high-quality customer service to faculty, administrators, staff, and students. Respond to inquiries in a timely and professional manner, resolve administrative issues collaboratively, and foster a supportive, service-oriented research environment.

This role requires an in-person presence on campus to best support the Yale School of Nursing research enterprise. Occasional flexibility to work remotely will be possible.


Required Skills and Abilities:

1. Demonstrate knowledge of grant and contract pre-award process and the federal regulations and guidelines pertaining to grant and contract administration.

2. Ability to apply strong management skills with the ability to provide excellent customer service focus and quality with efficient turnaround times. Excellent communication and interpersonal skills, both written and verbal. Demonstrated ability to manage multiple priorities in a dynamic academic environment while providing operational support for research administration and academic programs, including the PhD program.

3. Demonstrated and proven ability to interpret institutional policies, mandates, and requirements for grant development and submissions, and provide guidance to faculty and staff while ensuring compliance with institutional and sponsor requirements.  Ability to work well under deadline pressures and have exceptional attention to detail.  Ability to handle a complex portfolio of work in an intensive multi-tasking, entrepreneurial environment.

4. Proven ability to work collaboratively with all levels across schools, departments, and central university offices to improve internal support models related to processing and support for grant contracts preparation.

5. Demonstrated working knowledge of PC-based tools including Microsoft Suite (specifically Excel), data-base administration, and other related software. Experience with electronic proposal systems. Experience with research administration systems and electronic proposal submission platforms is preferred.

Principal Responsibilities

1. Directs, monitors, and assesses needs and directs the application of resources of an administrative University office dealing with one or more major functional areas. 2. Directs and implements solutions to problems that are routine to complex in nature and that affect multiple functional areas of responsibility. 3. Plans and/or participates in planning University activities on a long-term basis to comply with University goals and objectives. 4. Establishes and implements consistent university-wide policies in multiple functional areas of responsibility. 5. Ensures that University office policies and procedures are in compliance with federal, state, and local laws and ordinances. 6. Develops and monitors goals and objectives for managerial and professional staff in compliance with University strategies. 7. Directs a staff of exempt and non-exempt employees. 8. May perform other duties as assigned. Required Education and Experience Bachelor’s Degree in related field and six years of experience or an equivalent combination of education and related experience.
