Description
Fast-growing AI infrastructure company is looking for an Executive Assistant to support their VP of Engineering. This is an exciting opportunity to be the first dedicated EA to a leader of the company's largest and fastest-growing org, while joining a centralized, collaborative EA team with a clear manager and growth path. In this role, you'll own calendar management and time orchestration so the most important work gets the right focus each week. You'll also handle inbox support, stand up and streamline an engineering team calendar, coordinate team travel, offsites and events across multiple offices, and provide light personal logistics support. Someone who is proactive, highly organized and flexible, with strong strategic calendaring skills, who enjoys working with engineering teams and is comfortable with direct, no-fluff communication. This is an in-office role, 5 days/week, based in downtown NYC. 140-180K DOE + equity, benefits, 401K, and flexible PTO.
Responsibilities
- Own calendar management for the VP of Engineering, balancing external meetings, interviews and internal recurring meetings.
- Orchestrate his week so the highest-priority work happens early and gets the right amount of time, rather than getting pushed to the end of the week.
- Clean up an overloaded calendar by resolving conflicts and back-to-backs, and help decide which interviews and meetings need his time.
- Stand up and maintain an Engineering team calendar, reviewing recurring meetings and standups for who needs to attend and how often.
- Manage the inbox and respond on the executive's behalf on straightforward items.
- Protect his time and set clear boundaries around his schedule so he can stay effective at work while keeping time for his family.
- Book travel and coordinate team offsites, hackathons and bonding events across multiple offices, including arrivals, departures and logistics.
- Provide light personal support, coordinating family logistics and scheduling around time split between two homes.
- Partner closely with the Executive Business Partner and wider EA team on shared projects and company-wide events.
- Spot problems before they escalate and bring solutions forward, keeping communication concise and easy to act on.
- 4-5 years of experience as an Executive Assistant supporting a senior leader in a fast-paced environment, ideally at a high-growth startup or tech company.
- Experience supporting engineering leaders or technical teams is a plus.
- Strong strategic calendaring skills, with the ability to assess priorities, protect focus time and make scheduling decisions without being asked.
- Exceptional organizational skills and attention to detail.
- Proactive and solutions-oriented, with an instinct to anticipate needs and catch problems before they escalate.
- Flexible and collaborative, able to adapt quickly and co-create ways of working with the executive.
- Clear, concise communicator, comfortable with direct and blunt communication styles and able to deliver updates that lead with the key takeaway.
- Professional and polished, while able to support and partner with a young, fast-moving team.
- Exercises discretion and sound judgment with confidential information.
- Excited about technology and curious about how engineering teams work.
- Proficient with Google Workspace, Slack and related productivity tools; familiarity with AI tools is a plus.
