Description
Fast-growing AI infrastructure startup is looking for an Executive Assistant to support their VP of Sales. This is an exciting opportunity to be the first EA to a sales leader at a company with big long-term goals, while being a core part of a collaborative EA team. In this role, you'll own the executive's calendar and inbox, and drive follow-through on high-level introductions and customer meetings. You'll also help set daily priorities, build systems and cadence around the quarterly sales calendar, and plan team events. This leader is looking for someone highly organized and proactive, who loves managing up and knows what it takes to run a fast-paced, high-growth org. This is an in-office role, 5 days/week, based in San Francisco's Financial District. 140-180K DOE + equity, benefits, 401K, and flexible PTO.
Responsibilities:
- Own calendar coordination for the VP of Sales, including interviews, customer calls with the sales team, and internal meetings.
- Manage the inbox, making sure important messages are responded to promptly and nothing falls through the cracks.
- Own follow-through on high-level introductions from company leadership, handling responses, scheduling and follow-up so the executive arrives prepared.
- Set daily priorities with the executive, making sure the most important work gets done each day while protecting time for his family.
- Build consistent systems, processes and cadence across the Sales org, especially around key moments in the quarterly sales calendar.
- Push back on behalf of the executive when needed to protect his time and focus.
- Plan and coordinate team events and offsites for the Sales org.
- Partner closely with the Executive Business Partner and wider EA team on shared projects and company-wide events.
- Learn the business and product deeply so you understand how the executive's work fits into the bigger picture.
- 4+ years of experience supporting a senior executive in a fast-paced environment, ideally at a high-growth startup, financial services, consulting or venture capital firm.
- Experience supporting a sales or revenue leader is a plus, but not required.
- Exceptional organizational skills and attention to detail, with the ability to bring structure to a fast-moving, ambiguous environment.
- Proactive and solutions-oriented, with an instinct to anticipate needs and chase down decisions without being asked twice.
- Strong follow-through and ownership mentality, able to take a goal and drive it to completion with minimal check-ins.
- Skilled at managing up, with the confidence to ask the right questions and draw out information from an executive who thinks quickly and abstractly.
- Direct, confident communicator with thick skin, comfortable working alongside sales teams and pushing back when needed.
- Excellent written and verbal communication skills, with the polish to interact with C-level executives and external partners.
- Strategic calendaring and prioritization skills, with the judgment to make scheduling decisions on the executive's behalf.
- Curious about the business and excited to grow with a rapidly scaling company.
- Proficient with Google Workspace, Slack and related productivity tools; familiarity with AI tools is a plus.
