THE ROLE
We are seeking a highly experienced, polished Executive Assistant to support a senior executive within our music organization. This is a high-visibility, high‑intensity role requiring exceptional discretion, flexibility, and the ability to operate seamlessly in fast‑moving, artist‑facing environments.
This position is not a standard 9–5 role. The Executive Assistant will be expected to remain closely connected to the executive and artists, supporting day-to-day operations both in-office (5 days per week) and while traveling globally.
WHAT THIS ROLE WILL DO
Provide comprehensive administrative support including complex calendar management, inbox triage, and correspondence, with absolute discretion
Serve as gatekeeper and primary point of contact for internal and external communications, including clients, partners, stakeholders, and senior industry executives
Coordinate extensive domestic and international travel, including itineraries, accommodations, ground transportation, and special requirements
Prepare briefing materials, agendas, and follow-ups so every meeting starts and ends with clear next steps
Maintain real-time availability to support during travel, events, and high-pressure periods
Manage expenses, receipts, and reporting accurately and on time
Anticipate needs and proactively resolve issues before they escalate
Support office logistics, ordering supplies, handling gifts, and hosting high-profile guests at our Beverly Hills office
Establish and maintain organized digital and physical records and files
Partner closely with internal teams in a fast-moving environment
WHAT THIS PERSON WILL BRING
Deep music industry experience is required
5+ years of experience supporting senior executives who regularly interface with high‑profile talent and industry leaders
Bachelor's degree in Business Administration, Entertainment Management, or a related field preferred but not required
Comfort operating in artist‑facing environments where professionalism, polish, and adaptability are critical
Willingness and ability to travel extensively — up to ~90% global travel
Flexible schedule with the availability to support evenings, weekends, and long days (8–12 hours as needed)
Exceptional attention to detail with strong written and verbal communication skills
Ability to identify and anticipate needs, while staying on top of priorities + good organization and time management skills
High degree of discretion, maturity, and judgment
Comfort navigating technology, devices, and troubleshooting as needed
Professional demeanor with the confidence to operate independently
