Jefferson County Human Services has established a new division to coordinate case management, care planning, and make referrals to other resources for persons eligible for any of Colorado’s Medicaid Waivers under Health First Colorado (Colorado's Medicaid program). The new division was created to comply with Federal law that requires case management be provided by an agency that is separate from the agency that provides direct care. The intent is to simplify access for individuals and families and create consistency with services provided across the state. This redesign has created a unique opportunity for someone with strong leadership skills to guide new and seasoned employees in navigating this transition while ensuring the services and needs of our clients and the community are met.
Jefferson County Case Management Agency is seeking an Administrative Coordinator responsible for administrative support activities. This includes preparing forms and reports, monitoring the flow of paperwork and files, facilitating communication between staff, and coordinating staff meetings. In Human Services, our administrative workers must be aware of relevant confidentiality laws and be prepared to handle sensitive information.

SCHEDULE:
The County operates primarily on a 4-day/10-hour workweek (Monday–Thursday). Human Services positions may follow either a 4-day/10-hour schedule or a 5-day workweek (Monday–Friday), depending on team and operational needs. This position is hybrid; however, regular in-person attendance is required during the initial training period.
Note: This position may require work outside of normal business hours as needed to meet operational demands and support the department’s responsibilities.
COMPENSATION:
Hiring Range: $24.56 - $30.70 USD Hourly
Compensation will be determined based on education, experience and skills.

ESSENTIAL DUTIES:
Processes confidential matters, greet visitors, and screens and directs telephone calls
Orders supplies and verifies deliveries. Maintains inventory of supplies
Distributes mail and documents.
Posts agendas and schedules.
Oversees data processing. Prioritizes and forwards media requests. Grants document permissions. Utilizes data entry equipment to store, retrieve, and disseminate information.
Communicates department and division information with various internal and external stakeholders, and community partners.
Assists in coordinating public meetings.
Develops mailing lists and promotional items. Attends staff meetings. Records and manages information discussed in staff meetings.
Facilitates communication by coordinating clear dialogue between department and division staff.
Participates in planning meetings.
Performs administrative tasks in support of the department and division, including producing reports, creating and maintaining documents, and completing projects.
Ensures all provided material is accurate. Prepares supplies and materials for staff usage.
By position may perform leadwork.

Minimum Qualifications:
Experience: Minimum of three (3) years related experience completing administrative coordination for human services, healthcare, behavioral health, social services, nonprofit, government, or another client-service environment.
Education: High School Degree or GED
Preferred knowledge, skills and abilities:
Administrative support experience, preferably within a Case Management Agency (CMA), Community-Centered Board (CCB), Human Services, government, or related setting.
Knowledge of Medicaid programs and populations served through case management services.
Strong organizational skills with the ability to manage multiple priorities, deadlines, and confidential information.
Strong written and verbal communication skills with staff, community partners, and the public.
Experience coordinating meetings, advisory councils, or committees, including agendas, presentations, meeting minutes, technology, and follow-up.
Proficiency with Microsoft Office, databases, electronic records, and other office technology, with strong attention to detail and accuracy.
Experience coordinating projects, employee or community events, resource fairs, or other administrative activities.
Ability to work independently, take initiative, collaborate across teams, and serve as a resource or liaison for employees and stakeholders.
Additional Job Information:
A valid Colorado driver’s license is required for positions that drive on County Business in either a county or personal vehicle within 30-days of hire or beginning to serve as an intern or volunteer.
