Position Summary
The Operations Systems Specialist is responsible for supporting the operational efficiency of facilities, maintenance, and vendor management systems—primarily through ServiceChannel, Workday and related platforms. This role ensures accurate asset data, smooth vendor onboarding, timely preventive maintenance scheduling, and reliable invoice processing. The Specialist serves as a key liaison between vendors, clubs/locations, Finance, and the Operations team, helping maintain compliance, data integrity, and seamless service delivery.
Job Duties/Responsibilities
Asset Management
- Process asset tag requests; create/print tags.
- Maintain accurate asset inventory and update records in ServiceChannel.
Preventive Maintenance
- Schedule bulk PMs and track compliance.
- Assist clubs with PM scheduling and create PMs for contracted services.
Invoice & Compliance
- Resolve invoice integration issues and discrepancies.
- Address Finance escalations and process NTE increases.
Vendor Support & Management
- Send vendor invitations and support onboarding.
- Respond to vendor questions about payments, invoices, and system use.
- Maintain positive vendor relationships through clear, timely communication.
Procurement
- Route procurement requests and support approval workflows.
Club Support
- Answer club questions and troubleshoot basic ServiceChannel issues.
System Administration
- Manage vendor onboarding processes.
- Maintain accurate asset, vendor, and system data.
Minimum Required Qualifications
- Proficient in Microsoft Office Suite.
- Ability to consume a high volume of tasks in a time efficient manner.
- Strong communication, organization, and problem-solving skills.
Years of Experience:
- 1 to 2 years of experience in a professional business environment.
Preferred Qualifications:
- 2–4 years of operations, facilities, or vendor management experience preferred.
- Bachelor’s Degree in a related field.
- ServiceChannel or CMMS experience a plus.
- Experience with process improvement initiatives.
Pay
This is an hourly position with wages starting at $23.50 and pays up to $31.75, based on experience and qualifications.Benefits
