Facilities Coordinator
What this job involves:
As a Facilities Coordinator at JLL, you'll be at the heart of creating exceptional workplace experiences for our clients and their employees. This role puts you on the front lines of day-to-day facility operations, where you'll coordinate maintenance activities, manage vendor relationships, and ensure spaces function seamlessly. You'll serve as a key point of contact for facility-related requests and concerns, translating needs into action while maintaining the highest standards of service delivery. Your organizational skills and proactive approach will be essential as you juggle multiple priorities, from routine inspections to emergency response coordination. This position offers hands-on experience in facilities management while connecting you to a global network of professionals who support each other's growth and development.
What your day-to-day will look like:
- Coordinate and track work orders for maintenance, repairs, and facility improvements, ensuring timely resolution and quality outcomes
- Serve as a primary liaison between building occupants, vendors, contractors, and property management teams to address facility needs and concerns
- Conduct regular facility inspections to identify maintenance issues, safety hazards, and opportunities for operational improvements
- Maintain accurate records and documentation of facility activities, vendor contracts, preventive maintenance schedules, and compliance requirements
- Support space planning and move coordination activities, including furniture installation, office reconfigurations, and workspace optimizations
- Monitor building systems and equipment performance, escalating issues appropriately and coordinating with specialized technicians when needed
- Assist with budget tracking and invoice processing for facility-related expenses, ensuring accuracy and proper cost allocation
- Respond to emergency situations following established protocols, coordinating appropriate resources and communicating with stakeholders
- Participate in sustainability initiatives and contribute ideas for enhancing operational efficiency and occupant satisfaction
Required qualifications:
- High school diploma or equivalent; Associate's degree in facilities management, business administration, or related field preferred
- 2+ years of experience in facilities coordination, property management, office administration, or related customer service role
- Strong organizational skills with demonstrated ability to manage multiple tasks and priorities simultaneously
- Excellent communication skills, both written and verbal, with ability to interact professionally with diverse stakeholders
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and ability to learn facility management software systems
- Basic understanding of building systems, maintenance operations, and workplace safety principles
- Problem-solving mindset with ability to think critically and respond effectively to unexpected situations
- Flexibility to occasionally work outside standard business hours for emergency response or special projects
Preferred qualifications:
- Bachelor's degree in facilities management, engineering, business, or related discipline
- Experience with computerized maintenance management systems (CMMS) or integrated workplace management systems (IWMS)
- Knowledge of building codes, OSHA regulations, and environmental health and safety standards
- Previous experience in corporate facilities, commercial real estate, or property management environments
- Certification such as Facilities Management Professional (FMP) or equivalent industry credential
- Demonstrated commitment to sustainability practices and energy efficiency initiatives
