Section/Group: Welding Inspection
Location: Shah Alam / Malaysia
Contract: Permanent
Office/Hybrid: 40 hours per week (full-time), Monday to Friday, 8.00am to 5.00pm.

Description of role:
The role is responsible for providing comprehensive administrative and coordination support to the WI Department, ensuring smooth day-to-day operations, effective planning, scheduling, and information flow.
The position supports document preparation and control, including course plans, examination schedules, training records, purchase requests, and internal approvals, while coordinating departmental meetings, recording minutes, and following up on agreed actions.
The role also manages basic resource and logistics arrangements such as room bookings, instructor coordination, and travel arrangements, while working collaboratively across departments to ensure activities are delivered efficiently.
The successful candidate is expected to be proactive in identifying potential gaps, bottlenecks, and risks, escalating issues promptly and suggesting improvements, as well as supporting ad-hoc tasks and projects assigned by Management.
Key responsibilities include:
WI Department Administrator
Act as the primary administrator for WI to support planning, scheduling, and information flow.
Administrative & Document Control Support
Support preparation, tracking, and filing of key documents (course plans, exam schedules, training records, purchase requests, and internal approvals).
Meeting & Action Tracking
Organise departmental meetings, record minutes, and follow up agreed actions for WI Department.
Resource & Logistics Coordination
Coordinate room booking, instructor arrangements, travel, and basic logistics for WI Department activities.
Cross-Department Support & Proactiveness
Proactively identify gaps, bottlenecks, or risks and escalate early with improvement suggestions.
Assist in any ad-hoc task or projects assigned by the Management of the company
Requirements
- Minimum Diploma holder or equivalent in Business Administration, Management, Marketing or a related field.
- Minimum of 3 – 5 years of administrative experience in a similar role.
- Proficiency in office software (e.g. MS Office Suite), Good communication skills in Bahasa Malaysia and English (Written & Spoken).
- Possess excellent interpersonal skills, maturity and flexibility, able to work in a team and independently with minimum supervision.
- Strong organizational, communication, and interpersonal skills
- Familiarity with office equipment and systems. Basic knowledge of marketing principles and tools.

This role may involve local travel within Malaysia and occasional trips.
