THE ROLE
You will be the financial and operational backbone of the agency, working daily with leadership in New York.
This is a senior individual contributor role with leadership potential, ideal for someone who thrives in a fast-moving creative environment and brings structure without adding bureaucracy.
Important: we are not hiring a bookkeeper. Hands-on bookkeeping in QuickBooks Online is part of this job and you must be excellent at it, but it is the foundation of the role, not the whole role. You will also own reporting, forecasting, vendor and contract operations, and process building.
LOCATION ELIGIBILITY
This role is open to candidates currently based in Canada or anywhere in South America Please apply only if you are based in one of these countries and can work a full-time US Eastern Time schedule.
WHAT YOU WILL OWN
- Full-cycle bookkeeping in QuickBooks Online (QBO): accounts payable, accounts receivable, bank and credit card reconciliations, journal entries, and month-end close support.
- Financial reporting: monthly P&L, balance sheet, AR and AP aging, budget vs actuals, and management reporting for leadership
- Cash flow forecasting and AR collections follow-up with clients
- Vendor and payment operations across QBO, Bill.com, and Ramp, including vendor onboarding and compliance documentation
- Agency operations: SOW and contract tracking, insurance renewals and certificates, client and vendor portal administration
- Financial modeling and cost structures for new business proposals
- Building and improving finance processes, SOPs, and reporting workflows from the ground up
- Daily collaboration with US-based leadership and external bookkeeping and CPA partners (EST overlap required)
WHAT WE ARE LOOKING FOR
- 8+ years in finance, accounting, or operations; agency, media, or professional services background strongly preferred
- Advanced, hands-on QuickBooks Online skills: you can run AP, AR, reconciliations, and month-end close independently, then explain the numbers to leadership
- Strong Excel and Google Sheets skills (lookups, pivots, financial modeling)
- Excellent spoken and written English; you will communicate daily with US-based leadership and clients
- Based in one of the countries listed under Location Eligibility, with full-time availability (40 hrs/week) on a US Eastern Time schedule, long-term
- Proven ability to work independently and manage upward across time zones in a lean, high-trust environment where ownership is real
