Tallgrass Title is seeking a detail-oriented and driven Administrative Specialist to join our growing team! In this role, you'll be responsible for managing phone calls, greeting clients, and maintaining a clean, organized office environment, including stocking supplies and handling basic administrative tasks. Additional duties include processing electronic documents, assisting with account reconciliation, and preparing mortgage figures as needed.

Responsibilities
- Answer phones promptly and professionally, directing calls to the appropriate department or individual and taking accurate messages when necessary.
- Run errands as needed, such as picking up office supplies, delivering documents, or performing other tasks to support the smooth operation of the office.
- Maintain a clean and organized office environment, ensuring the reception area, common spaces, and other areas are tidy and presentable for clients and staff.
- Keep the closing room clean and organized, ensuring that it is always prepared for meetings and consultations with clients or attorneys.
- Stock paper products in the restroom regularly to ensure that supplies like toilet paper, paper towels, and soap are always available for staff and clients.
- Stock the fridge and replenish snacks for the office, making sure that the kitchen area is stocked with beverages and light snacks for employees and visitors.
- Greet clients and visitors as they enter the office, providing a friendly and professional first point of contact, and ensuring they feel welcome and informed.
- Process earnest money check payments accurately, ensuring all transactions are documented properly and clients' accounts are updated promptly.
- Helps other departments as needed.
- All other duties and projects as assigned.
Qualifications
- High school diploma or equivalent is required; further education or certification in office administration is a plus.
- Strong communication skills, both written and verbal, with a professional phone manner.
- Organizational skills to maintain an orderly office and manage multiple tasks efficiently.
- Proficiency in basic office software (e.g., Microsoft Office Suite) and the ability to learn specialized software.
- Customer service-oriented attitude with the ability to interact professionally with clients and visitors.
- Dependability and flexibility to manage errands and additional tasks as needed.
- Previous receptionist or administrative experience in a professional setting is preferred.
