Description
Fast-growing AI startup building purpose-built technology for the banking industry is looking for an Office Manager & Executive Assistant to support the Founder & CEO and the Chief Customer & Growth Officer. Founded by a serial entrepreneur and led by a tight-knit team that has built and scaled companies together for nearly a decade, this is an exciting opportunity to join as the company closes its next round and opens its first NYC headquarters. In this role, you’ll own office management for the new Midtown office, plan investor and client dinners and team off-sites end to end, and provide core EA support including calendar management, inbox prioritization, travel, and expenses. This role is a direct feeder into the company’s growing Strategy & Ops team. Someone who is hungry, scrappy, flexible, and high energy, and thrives in a fast-paced startup environment. This role is remote through the end of the year, then in-office 5 days/week in Midtown Manhattan starting January. 120-150K DOE + benefits, 401K, and flexible PTO.
Responsibilities:
- Own day-to-day office management for the new NYC headquarters, including greeting guests, keeping the space stocked, and coordinating maintenance and vendors.
- Provide core EA support to the Founder & CEO, including calendar management, scheduling, travel coordination, and expense reimbursements.
- Triage and prioritize the CEO’s inbox, filtering out noise and flagging items that need urgent attention.
- Manage calendars, meetings, and travel for the Chief Customer & Growth Officer.
- Plan and execute NYC investor and client dinners end to end, from venue selection and reservations to menus and on-the-ground logistics.
- Support planning for quarterly team off-sites and company events.
- Coordinate logistics for the office buildout, including scheduling vendors and deliveries and making sure leadership is in the right place at the right time.
- Build personal commitments and commute time into the calendar so leadership’s days run smoothly.
- Help leadership keep up with high-volume communication across Slack and email, following up on priorities and action items.
- Assist with employee onboarding, including welcome kits, holiday gifts, and new hire tool setup.
- Take on ad hoc projects and operational support as the company scales.
Qualifications:
- 3-5 years of experience in an executive assistant, office management, or operations role, ideally at a high-growth startup or similar fast-paced environment.
- Experience in tech, banking, or financial services is a plus.
- Hungry, scrappy, and eager to take on whatever is needed, with a do-whatever-it-takes attitude.
- Flexible and adaptable in an environment where priorities shift quickly and the playbook is still being written.
- High energy and a positive presence, with the ability to serve as the face of the office.
- Exceptional organizational skills and attention to detail, with the ability to juggle multiple priorities at once.
- Strong judgment in prioritizing calendars and communications, including knowing when something needs urgent attention.
- Excellent written and verbal communication skills, with the ability to interact with stakeholders at all levels.
- Responsive outside of standard hours for urgent matters.
- Event planning experience and knowledge of NYC venues and restaurants is a plus.
- Proficient with Microsoft Office (Word, Excel, PowerPoint), Slack, and Notion; familiarity with AI tools is a plus.
- Based in or able to commute easily to Midtown Manhattan, 5 days/week.
- Interest in growing into a strategy and operations role.
