HR Assistant – US Staffing-Remote

 Job Summary

We are looking for a reliable and organized HR Assistant to support our U.S. staffing operations. This role will assist with employee administration, candidate coordination, timesheets, invoicing support, phone communication, scheduling, documentation, and other day-to-day HR and staffing activities.

Key Responsibilities

• Assist with employee onboarding and maintain employee records.
• Collect, track, and follow up on employee timesheets.
• Convert timesheet data into Excel or Google Sheets for payroll and invoicing.
• Assist with preparing client invoices using approved timesheet data.
• Answer incoming business calls and route messages appropriately.
• Make outbound calls to candidates, employees, and other contacts as needed.
• Follow up with candidates regarding interviews, documents, availability, and onboarding.
• Schedule meetings, interviews, and employee discussions.
• Prepare meeting agendas and send reminders for meetings and pending actions.
• Maintain candidate, employee, placement, and client information in the ATS/CRM.
• Assist with document collection, employee files, and HR-related records.
• Maintain reports, spreadsheets, and staffing documentation.
• Support recruiters and management with day-to-day HR and staffing activities.
• Perform other administrative and HR support tasks as needed.

Required Skills

• Good written and spoken English.
• Strong Excel / Google Sheets skills.
• Comfortable making and answering professional phone calls.
• Strong organizational and follow-up skills.
• Good attention to detail.
• Working knowledge of Microsoft Office and Google Workspace.
• Ability to work independently in a remote environment.
• Experience in HR, staffing, recruitment, payroll support, invoicing, or administration preferred.

Preferred Experience

Experience with QuickBooks, ATS/CRM systems, timesheets, onboarding, payroll coordination, or U.S. staffing is a plus.
