Job Title: Remote Executive Assistant to the Founder (100% Work From Home) 

 
Location: Remote from Latin America
 
Position Type: Full Time
  
Salary: $1,500 – $2,500 USD/month (Final monthly retainer calibrated precisely to depth of senior administrative tenure and executive agency support experience).
  
Schedule: Full-Time (40 hours per week). Mandatory daily core overlap hours are 10:00 AM – 3:00 PM US Eastern Time (EST), Monday through Friday, with the remaining daily hours structured flexibly to complete the 40-hour workweek. Core presence is essential to sync directly with the Founder and respond rapidly to live client demands.

The Role
 
Our Client is seeking an exceptionally polished, high-ownership Executive Assistant (EA) to the Founder. Please note: This is a highly strategic, administrative partner role, not a basic data-entry assistant position. Reporting directly to the Founder & Creative Director—who leads business development, high-profile client relations, and macro agency strategy—the successful candidate will serve as his premier operational right hand. Managing a high-volume, multi-organizational workload across both the flagship agency and an innovative tech nonprofit, this role exists to aggressively defend the Founder's time, extend his administrative reach, and guarantee that no detail ever slips through the cracks.
 
Key Responsabilities
 

Calendar Defense & Multi-Org Time Management

 

  • Owns and orchestrates the Founder's complex daily calendar across both the digital product agency and a Michigan-based technology nonprofit focused on tech workforce development.

  • Strategically shields focus blocks, clusters meetings to optimize daily momentum, coordinates seamless scheduling with external enterprise partners, and ensures the Founder enters every meeting fully briefed.

 

Inbox Governance & High-Level Correspondence

 

  • Monitors, triages, and organizes high-volume corporate inboxes spanning critical client accounts, business development leads, board-level communications, and internal operations.

  • Operates in a dual-mode workflow: drafts highly sophisticated, context-aware email responses for the Founder’s rapid approval, and handles routine scheduling adjustments and standard inquiries independently as an open representative of the executive office.

  • Exercises expert discretion, demonstrating sharp business judgment to determine what requires immediate escalation and what can be resolved autonomously.

 

Meeting Synthesis & Business Development Support

 

  • Prepares executive briefing sheets ahead of major partner calls, extracting historical relationship data and open items from conversation histories and email archives.

  • Conducts thorough background research on target organizations, executive profiles, and technical industry trends, compiling crisp, organized summaries to support executive decision-making.

  • Reviews AI-generated transcription logs post-meeting to capture exact commitments, assign action items to correct internal departments, and relentlessly track tasks to completion.

  • Governs business development pipelines by maintaining HubSpot CRM database hygiene, updating warm account statuses, and coordinating critical lead follow-ups.

 

Nonprofit Administrative Liaison

 

  • Provides dedicated administrative and logistical support to the Tech Collaborative nonprofit arm, coordinating board-of-directors schedules, formatting funder correspondence, tracking grant and operational deadlines, and organizing virtual events.

 
Required Qualifications
 
  • Executive Administrative Tenure: 5–7 years of verified professional experience operating as an Executive Assistant, Operations Coordinator, or Chief of Staff, ideally supporting founders, agency partners, or C-suite executives in high-speed, client-facing business environments.

  • Exceptional Written English: Flawless, native-level written English mechanics. The candidate must possess the stylistic adaptability to write polished corporate notes to enterprise board members, warm check-ins to nonprofit donors, and direct scheduling responses to internal leads.

  • High-Level Autonomy & Judgment: A self-directed professional who thrives with minimal oversight, anticipates needs proactively, and systematically flags potential roadblocks early rather than remaining silent.

  • Modern Tool & AI Stack Fluency: Deep comfort utilizing Google Workspace, Slack, and cloud platform tools. Active, hands-on experience leveraging advanced AI engines (ChatGPT, Claude) alongside integrated productivity AI models (Gemini, Copilot) to accelerate research, document synthesis, and administrative workflows.

  • Pristine Data & CRM Hygiene: Strong organizational discipline with direct experience navigating CRM architectures (preferably HubSpot) and digital project management software.

  • Absolute Confidentiality: A highly professional demeanor with a clear understanding of the strict ethical standards required when managing sensitive client relationships, strategic corporate data, and private financial communications.

  • Workplace Infrastructure: Ownership of a highly secure, private, and distraction-free remote home office setup, a modern workstation optimized for rapid multitasking, and a stable, high-speed internet connection with power and network backups.

 
Preferred Qualifications
 
  • Direct experience operating within digital product agencies, creative design studios, SaaS operations, or technology-focused consulting environments.

  • Prior experience coordinating administrative workflows for nonprofit boards or public-private funding entities.
