Production Coordinator

The Production Coordinator is central to managing the logistics and workflows of photo, video, and campaign production. The Production Coordinator will work closely with the videography / photography sub-team, marketing managers, and social media team to ensure timely, high-quality deliverables that align with brand standards and strategic goals.

 

ESSENTIAL RESPONSIBILITIES

• Coordinate production schedules and timelines for photo, video, and digital content projects
• Serve as the logistical coordinator for capture-shoots, including booking locations, talent, equipment, and managing permits
• Collaborate with creative and marketing teams to align production with campaign goals
• Assist in managing internal and external communications related to production
• Track and manage production budgets, expenses, invoices, and vendor contracts
• Maintain clear documentation including call sheets, production briefs, and post-production timelines
• Support the social media team with asset delivery and scheduling needs
• Ensure brand consistency and quality control across all produced content
• Collaborate with external vendors, negotiate contracts, and oversee quality control
• Assist with market research, reporting, and performance analysis

 

REQUIREMENTS

• Strong organizational and time management skills
• Excellent communication and interpersonal abilities
• Proficiency in project management tools (e.g., Teamwork, Asana, Trello)
• Basic understanding of photography, videography, and post-production workflows.
• Ability to handle multiple assignments simultaneously.
• Comfortable working in fast-paced environments (events, resort shoots, live shoots, etc.)
• Punctual and professional
• Ability to carry and set up equipment (sometimes heavy gear) if needed
• Comfortable working indoors, outdoors, and in various weather conditions
• Willingness to travel for capture-shoots if needed
• Ability to stand for extended periods during capture-shoots
• Familiarity with design software (e.g., Adobe Creative Suite) is a plus

 

QUALIFICATIONS

• Bachelor's degree in Marketing, Communications, or a related field
• 1-3 years of experience in production coordination, preferably within marketing or content teams
• Proficiency with Google Drive, Google Sheets, Google Docs, and Microsoft Office

SCHEDULE - M-F 9-6 some weekends and nights as needed.
