VOAC recognizes the unique needs of the older adult who needs a wheelchair ramp to stay at home safely, and the preschooler whose family needs additional resources. VOAC supports veteran’s efforts to exit homelessness as well as provides a safe place for survivors of domestic violence. Wherever VOAC goes, it combines relationship-building, volunteers and quality services to lift and support our neighbor’s efforts to become self-sufficient and reach their full potential.
**The Office Manager oversees general administrative functions and activities of the office, performing administrative support tasks including answering phones, receiving visitors, scheduling meeting rooms, sorting packages and facility mail, Fed-Ex shipments, office supply orders, as well as accounting, H/R and advancement duties. The Office Manager is trained in data input to support Development, A/P and Building Services teams.
Essential Duties and Responsibilities
· Greet, welcome, and direct clients, volunteers, and visitors with a positive, helpful attitude (5%).
· Answer phones in a professional manner and route calls as necessary to department program staff (15%)
· Provide clerical support such assorting, and distributing mail/packages, preparing documents, and scheduling meeting rooms (10%).
· Support HR Department with clerical work including access badges, nametags, business cards (10%).
· Support Accounting department with basic AP support, document management, and other duties (15%).
· Support Advancement team by performing clerical work including writing thank you notes (20%).
· Support Building team by generating weekly A/P Transmittals and serving as general building communications hub (10%).
· Maintain workplace security by following procedures, issuing, checking and collecting badges as necessary and maintaining visitor logs (5%).
· Support continuity among work teams by documenting and communicating actions, irregularities, and continuing needs from the reception area (10%).
· Provide excellent customer service (always!).
Working Conditions and Physical Requirements
While performing the duties of this position, the employee is regularly required to speak and hear. The employee frequently is required to use hands or fingers, handle or feel objects, tools, or controls. The employee is occasionally required to stand; walk; sit; and reach with hands and arms. The employee must occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this position include close vision, distance vision, and the ability to adjust focus. The noise level in the work environment is usually low to moderate.

Minimum Qualifications of Position
· High School Diploma.
· Prior experience as a receptionist.
· Intermediate experience in Microsoft Office.
Preferred Qualifications of Position
· Associate degree in accounting, business or related field.
· Advanced in Microsoft Office.
· Fluent in Spanish.
· Experience in Trauma Informed Care
