About The Job
We are looking for a Service Coordinator to join our team on a 5-month maternity cover contract. In this role, you will support the smooth and efficient delivery of field service activities by coordinating customer orders, service engineer schedules, service follow-ups, quotations, and administrative processes.
You will work closely with Service Engineers, Team Managers, Service Sales, and customers to ensure service activities are well planned, prioritised, and executed in a timely manner.
Job Description
Place and process customer purchase orders in the relevant systems, ensuring accurate and timely order administration.
Plan and manage the daily work schedules of Service Engineers, ensuring resources are effectively allocated.
Monitor service reports and coordinate engineers' follow-up actions and leads to ensure timely closure.
Prioritise and coordinate service jobs in close collaboration with Team Managers to ensure work is executed according to business and customer requirements.
Support the preparation and processing of complex or non-standard quotations for Field Service activities, contributing to service and divisional targets.
Monitor and maintain the service order backlog, ensuring timely follow-up and resolution of outstanding items.
Follow up on credit queries and coordinate with relevant stakeholders to ensure timely resolution.
Administer Performance Agreements in close collaboration with the Service Sales team.
Monitor and maintain records related to special tools, certifications, vaccinations, and other requirements necessary for Service Engineers to perform their work.
Provide general coordination and administrative support to ensure smooth day-to-day service operations.
What You Know
Diploma or equivalent qualification in Business Administration, Engineering, or a related discipline.
Previous experience in service coordination, administration, order management, scheduling, or a similar role is an advantage.
Good command of English, both written and spoken.
Good working knowledge of Microsoft Office, particularly Excel and Outlook.
Strong organisational and time-management skills, with the ability to manage multiple priorities.
Good communication and coordination skills, with the ability to work effectively with different stakeholders.
Detail-oriented, proactive, and comfortable working in a fast-paced environment.
Able to work independently while collaborating closely with a wider team.
