Role Overview
The HR Administration Specialist will join a Global Business Services Hub and deliver comprehensive HR administrative support for the Italian market, including activities completed before and after payroll processing. This position will help ensure accurate employee records, regulatory compliance, and timely service in line with established performance indicators and service-level commitments. Working closely with Payroll Specialists, the Italian HR team, and other business stakeholders, this professional will support the entire employee lifecycle and contribute to efficient, reliable, and continuously evolving HR operations.
Key Responsibilities
The HR Administration Specialist will coordinate administrative activities throughout the employee journey, including recruitment documentation, contractual updates, mandatory notifications, and termination procedures. This professional will maintain personnel files, manage document storage and archiving, and keep employee master data accurate and consistent across HR platforms such as SAP HR and ADP. The role will also provide clear and timely assistance to employees and managers regarding certificates, employment records, and internal HR procedures. Pre-payroll responsibilities will include validating contractual and administrative information, working with payroll colleagues to resolve discrepancies, and performing regular data-quality controls. In addition, the position will support compliance reviews related to Italian employment legislation and collective agreements, contribute to labour-cost analysis for planning and commercial assessments, and maintain complete records for internal controls and audits. Participation in process harmonisation, digitalisation, and continuous improvement initiatives will form an important part of the role.
Requirements
The position requires a bachelor's degree in Human Resources, Economics, Law, or a related discipline, although equivalent practical experience may also be accepted. The successful candidate will bring two to three years of experience in HR administration, shared services, or a comparable operational environment. Fluency in Italian and a good command of English are essential. Knowledge of employee lifecycle processes, Italian labour legislation, and national collective bargaining agreements will be valued, together with familiarity with pre- and post-payroll activities. Previous experience with HR information systems, particularly SAP HR or ADP, is preferred, alongside good proficiency in Microsoft Excel and other Office applications. An understanding of HR data governance, document control, audit requirements, and labour-cost components will also be beneficial. The role calls for a highly organised, service-oriented, and collaborative professional with strong analytical ability, close attention to detail, and the flexibility to manage several priorities while consistently meeting deadlines and quality standards.
