Description
Key Responsibility
1. Executive Assistant Duties
•Meeting Arrangement and Support: Organize, schedule, and assist with executive meetings, ensuring all logistical aspects are well-prepared.
•Event Management and Support: Assist in planning and executing internal and external events.
•Executive Schedule and Resource Management: Manage executive calendars, ensure necessary resources are stocked, and handle budget-related tasks such as expense claims.
2. Perform and lead adequate Supplier, Customer and Service Provider qualification activities General Administration & Affairs
•Contract and Website Management: Oversee the management of call center contracts, website maintenance, and media email communications.
•Shared Office Management: Check, sort, and distribute incoming mail and packages for the shared office space.
•Legal Document Management: Maintain a log sheet for contracts and securely store legal documents.
3. Procurement Responsibilities
•Supplies and Inventory Management: Monitor and procure office supplies and resources to ensure smooth office operations.
•Vendor Management: Liaise with suppliers and vendors to negotiate terms, manage procurement contracts, and ensure timely delivery of goods and services via Esker System Owner
•Budget and Expense Tracking: Maintain records of procurement expenses and ensure purchases align with budget allocations.
•Compliance: Ensure all procurement processes comply with company policies and legal standards.
4. Commercial support
Provide overall support to KAM team in terms of sales activities, including communicating, reporting, arranging meeting with external & internal related stakeholders
5. External communication
Coordinate external communication activities.
Work as liaison between regional PR and respond to regional request on corpo-rate PR related activities.
Manage and support on company homepage.
Qualifications
- Minimum Bachelors degree
- Proactive to take new tasks and responsibilities
- Positive attitude and good communication skill
- Fluent in both written and spoken English & Korean
- Over 5 years of working experience as executive assistant is needed in a global multinational company (preferred in pharmaceutical industry)
