ABOUT THE ROLE
As our Payroll & Benefits Specialist, you’ll play a key role in ensuring our people are paid accurately and on time, while supporting the day-to-day administration of employee benefits across our global operations. You’ll manage multi-jurisdictional payroll for both salaried and hourly employees, combining high-precision data processing with HRIS management to maintain regulatory compliance, accurate reporting, and smooth financial reconciliations.
You’ll take ownership of day-to-day payroll and benefits operations, making decisions around timecard verifications, payroll inputs, benefit enrollment updates, and regulatory filings. With a strong eye for detail and the confidence to work independently, you’ll act as a key control point for payroll accuracy—identifying and making routine processing adjustments within established guidelines, while knowing when to escalate more complex matters to the Manager, People & Culture.
A DAY IN THE LIFE
Working closely with the People & Culture & Finance teams, as well as external payroll vendors, the Payroll & Benefits Specialist is responsible for the following:
Payroll Execution & Global Compliance
- Managing and executing full-cycle bi-weekly payroll for salaried and hourly employees across multi-jurisdictional regions (Canada, USA, UK, Vietnam, Philippines, and Hong Kong).
- Reviewing hourly timecards and processing all new hires, employee changes, off-cycle payments, and terminations.
- Partnering with People & Culture stakeholders to streamline standardized payroll input workflows, ensuring data accuracy prior to processing.
- Processing required tax and payroll forms, including ROEs, T4s, W-2s, and local jurisdiction equivalents.
- Preparing and remitting federal and provincial statutory filings, including WCB/WSIB, Employer Health Tax (EHT), and statutory deductions.
- Establishing governance and internal controls to mitigate financial risk and maintain compliance with local labour standards.
Benefits Administration & HRIS Management
- Administering employee benefits programs, managing enrollments, terminations, and life event changes across global group plans.
- Managing administrative duties for retirement savings plans, including RRSP and 401(k) contributions and match calculations.
- Maintaining, troubleshooting, and updating the HiBob HRIS system, overseeing data integrity for onboarding, offboarding, and organizational shifts.
- Serving as the primary internal point of contact for employee inquiries regarding pay, tax withholdings, benefits coverage, and leave accruals, delivering timely, clear, and confidential customer service.
Financial Reconciliation & Reporting
- Performing bi-weekly payroll reporting, general ledger (GL) reconciliations, and journal entry preparations in coordination with Finance.
- Executing month-end and year-end reconciliations, audits, and reporting summaries.
- Maintaining secure, confidential employee records and filing systems in compliance with privacy regulations.
DELIVERABLES & KPIs
- Error-free, on-time processing of bi-weekly multi-country payroll.
- Zero variance in HRIS (HiBob) data entries, benefit enrollments, and GL reconciliations.
- 100% compliance on all statutory tax remittances, filings (T4/W-2/ROE), and local regulatory reporting.
- Clean execution of internal and external payroll and benefit audits with zero major control findings.
ABOUT YOU
Essential
- 2+ years of direct experience managing end-to-end payroll processing and benefit administration in a complex environment.
- Proven working knowledge of Canadian employment standards, statutory payroll regulations, and tax compliance.
- Exceptional organizational skills and detail orientation, with a demonstrated commitment to zero-mistake data execution.
- High proficiency in Excel, including advanced functions (VLOOKUPs, pivot tables, data reconciliations).
- Hands-on proficiency with major payroll systems (ADP Workforce Now) and modern HRIS platforms (HiBob).
- Strong communication skills with a proven track record of handling sensitive, confidential information.
Nice to Have
- Professional payroll certification (e.g., PCP/PLP, CPM, CCP, or equivalent).
- Experience processing US or multi-country international payrolls (UK, APAC).
- Experience within consumer lifestyle, retail, or fast-paced multi-entity corporate structures.
YOUR JOURNEY WITH HERSCHEL SUPPLY
The annual salary for this role falls within the range of $65,000 - $75,000 depending on level of experience. This is a hybrid role, based out of our Vancouver HQ 4 days per week: Monday to Thursday, with flexibility to work from home on Friday.
