Apply now for the position of Executive Assistant based in Dubai where you will play a key role in providing comprehensive administrative and operational support to the MEA Zone Management for the Varian Oncology business.
This is a dynamic role requiring excellent coordination skills, attention to detail, discretion, and the ability to manage multiple priorities across senior stakeholders, teams, customers, and business events. Reporting to the MEA Zone Head, this is an opportunity to work closely with senior leadership and stakeholders in an international environment, build strong business relationships across the wider region, and contribute to the success of a diverse, high-performing team. The successful candidate will act as a trusted partner to the leadership team, ensuring that day-to-day operations, travel, events, and administrative activities run smoothly and efficiently across the region.
Your Role:
Manage and maintain executive calendars, including scheduling meetings, coordinating priorities, and resolving conflicts.
Coordinate internal and external meetings with senior leaders, customers, business partners, and other stakeholders.
Organize business lunches, dinners, and other executive engagements.
Provide proactive administrative support and anticipate the needs of senior leadership.
Handle ad hoc projects and other responsibilities as assigned.
Coordinate end-to-end business travel arrangements including, air tickets, Hotel accommodations, Airport transfers, Car rentals and Visas and other travel requirements.
Prepare and submit travel expense reports and follow up on approvals and reimbursements.
Manage event logistics including venues, meeting rooms, hotels, transportation, catering, team-building activities, and customer meetings.
Coordinate business card orders for senior leadership and other relevant team members.
Support the onboarding of new joiners by coordinating welcome communications and adding new employees to relevant MEA Teams channels.
Support quarterly NPS activities by coordinating with the MEA team through Teams to ensure database clean-up in Unity and timely customer email notifications and rating reminders ahead of surveys.
Facilitate communication and coordination across leadership teams and stakeholders.
Ensure follow-up on outstanding administrative and operational actions.
Maintain and coordinate the renewal of key office and business documentation.
Your Expertise:
Bachelor’s degree in Business Administration, Management or a related field.
5+ years of experience as an Executive Assistant, ideally supporting senior leadership in a multinational environment.
Strong communication, interpersonal, and problem-solving skills.
Advanced proficiency in MS Office (Excel, PowerPoint, Outlook); familiarity with SAP, or other enterprise tools is advantageous.
Experience managing competing priorities and confidential information in a dynamic, evolving environment.
A strategic mindset with a strong sense of ownership and attention to detail.
Emirati candidates are preferred.
Fluency in both Arabic & English is Mandatory, French is highly desirable.
