Credit Control & eBilling Specialist – Key Clients

Your role

You'll be a part of our Working Capital Team, working closely with client contacts and Practice Executives to support accurate, timely and effective billing outcomes.

This role will focus on both eBilling and collections for some of our key clients, helping to ensure invoices are submitted correctly, rejections are resolved quickly and outstanding balances are managed proactively.

As an eBilling & Credit Control Specialist in our Finance team, you will:

• Upload and submit client invoices through eBilling platforms, ensuring accuracy and compliance with client-specific billing requirements.
• Monitor invoice status, identify and resolve technical or formatting issues, and maintain an up-to-date understanding of client eBilling guidelines, submission requirements and platform updates.
• Investigate and resolve invoice rejections in a timely manner, liaising with Billing Lawyers, Practice Executives, Billing Support, platform support teams and clients as needed.
• Pursue and obtain purchase orders from clients, or work with lawyers and Practice Executives to secure the information required to progress billing.
• Ensure purchase order details are accurately recorded in the firm's practice management system and monitor matter budgets against billings, proactively seeking uplifts where required.
• Monitor aged debt for key eBilling clients and commence collections activity at the appropriate time to reduce outstanding balances.
• Escalate complex collection issues or disputes appropriately and prepare monthly reporting on collection performance and aged debt.
• Act as a key point of contact for client billing enquiries, building strong working relationships with client contacts, accounts payable teams and internal stakeholders.

This is a permanent, full-time opportunity. At Allens we have a hybrid working structure, typically 60% in the office and 40% from home. We would be happy to discuss any other flexible working arrangements that best support you.

About you

We are open to someone with eBilling experience, or someone coming from a credit control background who is keen to learn eBilling. You will have:

• Previous experience in eBilling, legal billing or credit control, ideally within a law firm, professional services or similarly complex environment.
• A willingness to learn eBilling processes and platforms if this is not already part of your experience.
• Experience with eBilling platforms such as Passport, Serengeti, Collaborati, Legal Tracker or CounselLink would be beneficial, but is not essential.
• Strong attention to detail and accuracy when preparing invoices, entering data and working with billing information.
• Excellent problem-solving skills, with the ability to investigate billing issues, resolve queries and follow matters through to completion.
• Clear written and verbal communication skills, with the confidence to work professionally with clients, lawyers and internal stakeholders.
• Proficiency in Microsoft Excel and confidence using practice management, billing or finance systems.
• The ability to manage competing priorities, meet deadlines and remain organised in a fast-paced working environment.
• A proactive, self-motivated and resilient approach, with the ability to handle challenging client or platform interactions professionally.
• A collaborative mindset and a desire to learn, grow and contribute to a supportive team environment.
