Title and Summary
Executive AssistantWe are currently seeking an experienced professional to join our team in the role of Executive Assistant. The role will support an Executive Vice President and a Senior Vice President at Vocalink, Mastercard. The individual will be a team member, coordinating operations within the department and become an integral part of the Executive Assistant community at Mastercard. The role holder will be required to get involved in a large spectrum of work and be proactive to oversee small projects, acting with authority and autonomy.Role
Lead diary management, scheduling, coordinating and prioritising meetings to reflect constantly evolving diaries
Schedule and manage travel arrangements for domestic and international trips and prepare expense reports
Support inbox management, organising and screening emails and preparing draft notes and responses as required, while maintaining discretion over sensitive information
Provide administrative support, ensuring stakeholders receive timely meeting briefings. Coordinate meeting and printing
Coordinate team meetings and town halls, agenda preparation, room logistics, paper distribution and minute taking
Organise and coordinate internal and external engagements
Maintain high availability to deliver instant, effective support in a fast-paced environment with changing priorities
All About You
Experience working as an Executive Assistant with senior stakeholders
Exceptional organisational skills, with the ability to manage complex diaries and arrange travel proactively using your own initiative
Proactive relationship-builder, confident partnering with senior stakeholders and collaborating with other Executive Assistants
Strong verbal and written communication skills, with an excellent attention to detail
Comfortable working under pressure and to tight deadlines in a fast-paced environment
Able to manage competing priorities and commitments, prioritising effectively as demands change
Highly proficient in Microsoft 365 (Teams, Outlook, Word, PowerPoint, Excel) and computer literate, with the ability to manage and understand numerous internal software systems
