Position Summary
We are seeking a highly organized, proactive, and resourceful Executive Assistant to support the Managing Partner and help drive the day-to-day execution of firm priorities. This is a high-trust position for someone who can anticipate needs, manage competing priorities, keep projects moving, and bring structure and follow-through to a busy executive environment.
The Executive Assistant will serve as a key partner to the Managing Partner, coordinating communications, calendars, meetings, travel, special projects, and administrative priorities while helping ensure that important initiatives do not get lost in the day-to-day demands of running a growing law firm. The ideal candidate is an excellent communicator, comfortable working independently, able to handle confidential and sensitive information with discretion, and willing to take ownership of projects from start to finish.
This position requires someone who is comfortable operating in a fast-paced environment where priorities can change quickly. We are looking for a person who does not simply wait to be told what needs to be done, but who notices what needs attention, figures out how to move it forward, and follows through.
Responsibilities
Executive Support and Calendar Management
- Serve as a trusted administrative and operational partner to the Managing Partner, proactively anticipating needs and managing competing priorities
- Manage the Managing Partner’s calendar, including scheduling meetings, coordinating appointments, resolving conflicts, and protecting time for high-priority work
- Monitor and organize email and correspondence, flagging time-sensitive matters and drafting or preparing responses as directed
- Draft, format, proofread, and edit correspondence and other materials
- Coordinate travel arrangements, itineraries, registrations, and logistics
- Prepare agendas, meeting materials, presentations, reports, and other documents
- Attend meetings with the Managing Partner, take accurate notes, document decisions and action items, track follow-up through completion, and capture time entries promptly and accurately for billing
Project & Workflow Management
- Take ownership of project management in Monday.com, maintaining complete and current project information, knowing the status of active matters at all times, proactively identifying risks or delays, and holding team members accountable for deadlines, deliverables, and client needs
- Track firmwide initiatives, projects, deadlines, and follow-up items on behalf of the Managing Partner
- Coordinate special projects and initiatives from planning through completion, ensuring deadlines and deliverables stay on track
- Coordinate communications and follow-up among attorneys, staff, clients, vendors, and external partners
- Identify opportunities to improve administrative processes, organization, communication, and workflow
Firm Leadership & Business Development Assistance
- Support client, community, professional, and industry engagements, including coordinating logistics, invitations, materials, and follow-up
- Assist with meetings involving clients, prospective clients, tribal leaders, business partners, and other stakeholders
- Assist with preparation of proposals, presentations, RFP responses, and other business development materials, when needed
- Conduct research and gather information to support strategic planning, business development, and other firm initiatives, when needed
Administrative & Operational Support
- Maintain organized records, contact information, calendars, and other administrative systems
- Assist with administrative matters involving vendors, memberships, subscriptions, professional organizations, and other firm relationships
- Reconcile the Managing Partner’s credit card expenses and process related reimbursements
- Use technology, automation, and software tools appropriately to improve efficiency and organization
- Perform other duties and special projects as needed to support the Managing Partner and the firm
Confidentiality & Professional Representation
- Maintain strict confidentiality regarding firm, client, personnel, financial, and other sensitive information
- Represent Cedar Tree Native Law and the Managing Partner professionally in all interactions with clients, attorneys, staff, tribal leaders, vendors, and external organizations
- Minimum 5 years of experience in an executive assistant, administrative, office management, project coordination, paralegal, or similar role
- Experience supporting an executive, business owner, attorney, or other senior professional strongly preferred
- Previous experience in a law firm or professional services environment preferred
- Bachelor’s degree preferred but not required with relevant experience
- Exceptional organizational skills and attention to detail, with the discipline to verify accuracy, anticipate what may be missed, and follow every task and commitment through to completion
- Ability to manage multiple priorities, deadlines, and projects without losing track of details
- Proficiency with Monday.com or other project management software preferred
- Ability to anticipate needs, identify problems, and develop practical solutions
- Highly proactive, self-directed, and comfortable working independently
- Strong written and verbal communication skills
- Excellent interpersonal skills and ability to work effectively with attorneys, staff, clients, tribal leaders, and external partners
- Strong professionalism and a positive, service-oriented attitude
- Ability to remain calm, flexible, and effective when priorities change or unexpected issues arise
- Proficiency with Microsoft Office, including Outlook, Word, Excel, and PowerPoint
- Comfort learning and using cloud-based software, electronic document systems, and other technology
- Familiarity with productivity tools and willingness to learn and adopt new technologies
- Ability to conduct internet research and synthesize information accurately
- Excellent judgment and discretion when handling confidential and sensitive information
- Ability to handle sensitive information with maturity and professionalism
- Commitment to serving Native communities and supporting tribal sovereignty and self-governance

The right person for this position will be more than a calendar manager. We are looking for someone who is naturally organized, thinks several steps ahead, and takes ownership of getting things done. You should be comfortable asking, “What else can I take off your plate?” and then following through without needing constant direction.
You will work closely with the Managing Partner and will have visibility into many aspects of the firm. This requires maturity, good judgment, discretion, and the ability to handle information that is confidential or sensitive.
