About The Role:
As an Executive Assistant at Trinity- JB&B, you are treated as a true business partner. • Manages complex calendars for assigned Leadership Team (Principals, Vice Presidents and/or
President), proactively identifying and resolving scheduling conflicts with discretion and diplomacy.
• Oversees meeting logistics, including accepting, declining, and rescheduling appointments, and
distributing meeting invitations.
• Coordinates conference room bookings and ensure proper setup for teleconferences and video meetings.
• Collaborates closely with the executive assistant team and firmwide stakeholders to ensure smooth daily
operations, including proactive communication and issue resolution.
• Arranges domestic and international business travel, including flights, itineraries and accommodations.
• Manages expense reports, receipts, reimbursements, and credit card reconciliations.
• Maintains professional licenses and tracks PDH credits across multiple states.
• Organizes internal and external meetings, including breakfast, lunch, and dinner engagements with
employees and clients.
• Provides backup support for executive assistants during absences to ensure uninterrupted service to the
Leadership Team.
• Assists, as necessary, the Office Operations team with office internal events, and manage Leadership
Team meetings and/or off-site programs.
• Manages Department of Buildings filing paperwork and submissions as required.
• Handles sensitive information with discretion and maintain confidentiality at all times.
• Performs additional administrative duties as assigned.
Minimum Qualifications:
Bachelor’s degree or equivalent experience
• 5+ years of experience supporting C-level executives
• Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)
• Excellent written and verbal communication skills
• Strong organizational and time-management abilities
• High level of professionalism and confidentiality
• Ability to work independently and as part of a team
• Experience with travel coordination and expense reporting tools (e.g., Concur)

Estimated compensation range: $36.06 - $45.67 per hour
Salary ranges are posted for visibility, but can be negotiated based on candidate qualifications and years of experience.
