This position will be a hybrid work arrangement. You will receive 18 remote workdays per quarter to use at your discretion, subject to manager approval. For example, you may choose to work in the office 4 days per week and take one remote day weekly (typically 13 weeks per quarter), leaving 5 additional remote days to be used as needed.
We are seeking an experienced Executive Assistant to provide a broad range of support to Managing Directors within Product Management and Solutions, as well as other senior members of the HarbourVest team. This individual will help foster a professional and welcoming environment for the team and external parties.
The ideal candidate is someone who is:
An excellent written and verbal communicator
Able to communicate professionally and confidently with colleagues of all levels
Highly organized and able to balance multiple responsibilities and prioritize effectively
Committed to excellence with high attention to detail and follow-through
Technologically proficient with a thorough knowledge of Microsoft Office Suite and ability to learn and adapt quickly to other applications. Knowledge of SAP Concur Expense platform and Salesforce a plus but not required
What you will do:
Provide Executive Assistant support to senior level individuals
Calendar management, including proactively identifying and resolving potential scheduling conflicts
Meeting planning and scheduling, both virtual and in-person, with internal and external parties and at times, across multiple geographies and time zones
Management of expense reimbursement, including for travel
Respond to emails, MS teams and phone calls in a timely manner
Coordinate domestic and international travel arrangements including flights, hotels, car service as well as troubleshooting if unexpected changes arise
What you bring:
Demonstrated experience in supporting senior leadership with calendar management
Experience coordinating travel, predominantly domestic
Experience with onsite meeting coordination and workroom production
Motivated, self-starter with the ability to work independently as well as part of a team
Ability to build and foster strong working relationships with stakeholders at all levels, and across multiple functions and geographies
Problem solving skills with a bias for action leveraging data, technology applications and other tools
Education Preferred:
Bachelor of Arts (B.A.), Bachelor of Science (B.S.), or equivalent experience
Experience
10 years+ Executive Assistant support experience supporting senior executives

Base Salary Range
$95,000.00 - $105,000.00
This USD base salary range represents only one component of total compensation for this role and is provided in accordance with local requirements. This role is eligible for a discretionary annual bonus, which is determined based on individual and overall firm performance. In addition to salary and bonus, total compensation may include eligibility for long-term reward programs and a comprehensive total rewards package that may include retirement, health, insurance, paid time off, and wellness programs. Our total rewards offerings are influenced by several business factors, and eligibility for certain components will vary by position and geography. Please note the posted ranges do not apply outside the U.S. and should not be converted to other currencies as a proxy for compensation in other countries.
This position is non-exempt and therefore eligible for the payment of overtime.
