Resource Management & Allocation Team Leader | Digital&IPA (freelance)
The Digital&IPA team at PwC Poland consists of nearly 500 people.
We are responsible for IT projects for both Polish and international clients. We carry out a wide range of tasks—from designing, building, and implementing solutions, through developing functional specifications, analyzing data in source systems, to defining business requirements, supporting testing, and creating mobile applications.
Within the department, we provide IT consulting services, mainly for financial sector institutions in Poland and abroad.
We are looking for:
Resource Management & Allocation Team Leader
This is an exciting opportunity to join the Resource Management function and take a leading, hands-on role in ensuring effective allocation, utilisation and sourcing of technology professionals. The Resource Management team works closely with Delivery, Capability Leaders and Recruitment to connect project demand with available skills and capacity, optimise billability and support informed workforce decisions. The successful candidate will lead the Resource Management team while remaining actively involved in day-to-day resource management activities. This is a hands-on leadership role, combining direct ownership of complex allocations and stakeholder relationships with responsibility for team performance, development and quality of delivery.
Your future role:
- Lead and actively participate in the end-to-end resource allocation process across technology capabilities, matching project demand with available skills, experience and capacity.
- Maintain a comprehensive view of current and upcoming availability, project assignments, allocation gaps, and future demand.
- Personally manage complex or business-critical allocation cases and act as an escalation point for resource conflicts and competing priorities.
- Work closely with Delivery Managers and Capability Leaders to understand staffing requirements and proactively identify capacity shortages and allocation risks.
- Own sourcing decisions for resource demand, determining whether requirements should be fulfilled through internal allocation, external recruitment or alternative external sourcing based on availability, skills, timelines and business priorities.
- Partner closely with Recruitment to translate identified capability gaps into recruitment demand, prioritise open requirements and continuously reassess hiring needs against changing internal availability.
- Drive effective bench management and ensure available employees are actively considered for suitable opportunities.
- Balance delivery needs with utilisation, billability, employee skills and development opportunities when making allocation recommendations and decisions.
- Own and continuously improve reporting related to allocations, capacity, utilisation and workforce demand.
- Monitor and analyse allocation vs. actual utilisation, identifying discrepancies, underutilisation and potential delivery or commercial risks.
- Drive process standardisation, automation and continuous improvement across Resource Management.
- Contribute to the development and improvement of Resource Management tools, dashboards and systems.
- Lead, coach and develop the Resource Management team while remaining directly involved in operational Resource Management activities.
- Coordinate team priorities and workload, ensuring timely and high-quality delivery of allocation and personnel planning activities.
- Influence and challenge stakeholders where necessary to ensure resources are deployed effectively and in line with business priorities.
- Facilitate resolution of competing resource requirements and ensure transparent prioritisation.
Apply if you have:
- At least 7 years of professional experience specifically in Resource Management, including hands-on responsibility for resource allocation, capacity planning and utilisation management.
- Proven people leadership experience, including responsibility for managing, developing and evaluating team members.
- Strong hands-on Resource Management expertise and willingness to remain personally involved in allocation activities alongside team leadership responsibilities.
- Excellent understanding of allocation, utilisation, billability/unbillability, bench management, capacity planning and workforce demand.
- Experience making or supporting internal vs. external sourcing decisions and working closely with Recruitment to fulfil resource demand.
- Expert-level Microsoft Excel skills, including advanced formulas, data analysis and working with large and complex datasets.
- Strong analytical skills and the ability to translate workforce data into actionable business recommendations.
- Excellent stakeholder management, influencing and conflict-resolution skills, including confidence working with senior stakeholders, including senior managers, directors, and partners
- Ability to manage multiple competing priorities and make sound decisions in a fast-changing environment.
- Experience with Power BI, Power Query, Power Automate or similar reporting and automation tools would be a strong advantage.
- Experience in technology, consulting, professional services or another project-based environment.
