About the role
The Import & Export Specialist oversees end-to-end international trade operations, ensuring the timely and compliant movement of products between Macmillan companies, suppliers, and the Brazilian market. The role is responsible for managing import and export processes, monitoring orders and shipments, coordinating with internal stakeholders and external partners, and providing critical operational support to the Sales team to ensure product availability and business performance.
Role Responsibilities:
Negotiate delivery schedules, commercial terms, and freight agreements with foreign publishers, leveraging strong negotiation skills, market intelligence, and business insights to secure competitive and mutually beneficial outcomes.
Obtain and evaluate quotations for international transportation, cargo insurance, and import-related costs, applying data analysis and quantitative skills to support cost-effective decision-making and operational efficiency.
Manage import documentation, including Commercial Invoices, Packing Lists, Bills of Lading, certificates, and other required documents, utilizing technology solutions and strong attention to detail to ensure accuracy and compliance.
Ensure compliance with customs, tax, and regulatory requirements applicable to the publishing industry by staying informed of regulatory changes and adapting processes as needed to minimize risk and maintain operational continuity.
Monitor customs clearance processes in collaboration with customs brokers and freight forwarders, balancing stakeholder needs while proactively addressing potential delays or compliance concerns.
Track international shipments and manage delivery timelines, using project management skills, technology tools, and effective communication to provide visibility and ensure timely product availability.
Control logistics costs, duties, taxes, and other import-related expenses by analyzing performance data, identifying optimization opportunities, and providing actionable business insights to support financial objectives.
Build and maintain strong relationships with suppliers, freight forwarders, customs brokers, carriers, and internal stakeholders, fostering collaboration and effective communication to achieve shared business goals.
Monitor and analyze key performance indicators (KPIs), including lead times, costs, service levels, and documentation accuracy, leveraging data analytics and market intelligence to identify trends, drive continuous improvement, and support strategic decision-making.
Resolve customs issues, documentation discrepancies, and logistics-related challenges by demonstrating adaptability, sound judgment, collaborative problem-solving, and clear communication across multiple stakeholders and business functions.
Experience, skills and qualifications
Essential
Bachelor’s degree in COMEX or Bachelor's Degree in International Business and Trade or similar
English – strong proficiency, fluent
Knowledge in customs processes and clearance
National and international transport;
Experience with customs broker and freight forwarder;
Negotiations with suppliers of freight, insurance and customs clearance.
Desirable
Spanish language
Have worked in multinational company with intercompany importation/exportation;
Knowledge of SAP and TOTVS systems;
Expertise in demand and stock management;
Knowledge of the book publishing market;
