Warranty Administrator

Overview

The Warranty Administrator is responsible for reviewing warranty calls from multiple branches and departments across the organization to ensure accuracy, completeness, and compliance with Caterpillar warranty requirements and internal policies. This role serves as a quality control checkpoint for warranty transactions, validates supporting documentation, submits claims to Caterpillar, and manages warranty settlement processing, credits, and warranty-related purchasing activities.

 

Starting Pay: From $24.00/hour, based on location and experience.

Responsibilities

Warranty Claim Review and Processing

• Review warranty calls submitted by parts locations throughout the organization for accuracy, completeness, and policy compliance.
• Validate information, failure details, and supporting documentation prior to claim submission.
• Identify discrepancies, missing information, or documentation gaps and coordinate corrections with parts personnel.
• Ensure warranty claims are filed within required timelines and in accordance with Caterpillar warranty guidelines.
• Submit approved warranty claims to Caterpillar through designated systems.
• Monitor claim status and respond to requests for additional information from Caterpillar representatives in a timely manner.

Warranty Settlement Management

• Process warranty settlements received from Caterpillar and other manufacturers.
• Reconcile warranty payments against submitted claims and approved amounts.
• Investigate and resolve settlement discrepancies, shortages, deductions, or rejected claims.
• Ensure timely application of warranty credits and recoveries within company systems. 

Reporting and Communication

• Generate reports related to warranty submissions, recovery rates, pending claims, rejected claims, and settlement activity.
• Communicate claim status updates and recovery opportunities to parts personnel and management.
• Support continuous improvement initiatives aimed at maximizing warranty recovery and reducing claim rework.

Qualifications

To perform this job successfully an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill and ability required.

• High school diploma or (GED) equivalent, with college or trade school preferred.
• Proficient in the use of a computer and standard office software (Word, Excel, etc.).
• Strong written and verbal communication skills.
• Attention to detail with high levels of accuracy.
• Problem-solving skills and basic math ability.
• Ability to perform duties with a sense of urgency, exceeding customer expectations.
• Ability to work with minimal supervision.
• Excellent organizational skills.
• Must be able to work in a dynamic, fast-paced service environment.
